Managing Owner Fee Invoices and Communications (Connected & Standalone Customers)

How to manage owner fee invoices and communications in Re-Leased — review and generate fees, waive fees, track invoice delivery status, bulk email invoices to owners with attachments, and locate fees for approval. Connected and Standalone customers.

The Owner Fees section lets you review draft fees, generate invoices, waive charges, and email invoices to property owners. Before using this feature, ensure your fee rules are set up. Navigate to Accounting > Owner Fees to get started.

Note: Client/Trust Accounting fee procedures are separate — see Setting Up Fees for Client/Trust Accounting. For late fees, see Creating Late Fee Rules.


The Two Tabs

  • Fees tab — shows all draft fees generated by your rules. Filter by company, owner, status, property manager, or date. Select fees using checkboxes to take bulk actions.

  • Invoices tab — shows all generated fee invoices with status, email delivery status, and access to communication tools.

Bulk Actions on Draft Fees

Select fees and click Bulk Actions:

  • Generate Invoices — converts selected fees to expense invoices. Multiple fees for the same owner are consolidated. Status changes to Generating, then Invoiced.

  • Waive Fees — writes off selected fees without creating invoices. Status changes from Draft to Waived. Only draft fees can be waived.


Managing Fee Invoices

The Sent column shows email delivery status — a green checkmark means sent, an email icon (on hover) means unsent. The Fees column icon filters the fees table to show exactly which fees make up that invoice. The download icon generates the Fee Schedule report.

Emailing Invoices to Owners

Send individually by hovering over a row and clicking the email icon. For bulk: select invoices, click Email Selected, choose a template or compose a message (merge fields supported in Subject and body), then click Send emails.

Each email automatically attaches the invoice PDF. The Fee Schedule PDF is optional. When an owner has multiple invoices selected, separate emails are sent per invoice to avoid confusion.

Note: Owners without an email address will show a validation error — update the contact before sending.

Finding and Approving Fee Invoices

To find a specific invoice in the Fees tab: set the status filter to Invoiced and click the amount to open the invoice directly.

For bulk approval: navigate to Income & Expenses > Expenses > Awaiting Approval, search "Fees", select the invoices, and approve.
