Custom Fields lets you bulk import values for Properties, Tenancies, Contacts, or Areas using a downloaded Excel template. For information on creating custom fields, see Custom Fields.
Permission Requirements
General Settings — to manage custom field settings.
Can Edit Tenancies / Properties — to edit custom field values on records.
Can Import Data — to perform data imports.
How to Import Custom Field Values
Navigate to Settings > Custom Fields and ensure your custom fields are already created.
Click Import values.
Use the dropdown selectors to choose the Company and entity type (Properties, Tenancies, Contacts, or Areas).
Click Download template to get an Excel file pre-populated with your records as rows and custom field labels as columns.
Populate the Excel file with values for each record.
Save the file and upload it on the same page.
Click Next to proceed.
Review the import details, fix any errors identified, then click Confirm import.
Note: Imports run in the background — you can navigate away and continue working while the import processes. You cannot start a new import for the same Company and Entity while one is in progress.
Field Type Notes
Checkbox
Enter Yes or No. These options are pre-populated in the downloaded template.
Date
Format the date column as text (not as a date) and use your region's date format: DD/MM/YYYY for Australia, New Zealand, and the UK; MM/DD/YYYY for the United States.
Single-select
Your pre-defined options will be pre-populated in the downloaded template. If they aren't, type the desired option exactly as defined in your custom field settings.
Multi-select
Separate multiple options with a comma. For example: Swimming Pool, Fitness Center
Note: Single and multi-select options that contain commas in their text are not supported for import.
Common Validation Errors
Property / Tenancy / Contact Not Found
Every import must include a valid ID for each record. If missing or invalid, Re-Leased will display a Property/Tenancy/Contact Not Found error. Attempting to import data for Archived records will cause the same error.
Value Length Exceeds 255 Characters
Text custom fields have a 255-character maximum. Truncate any values that exceed the limit before re-importing.
Tips for Avoiding Validation Errors
Use the downloaded template — don't create your own spreadsheet structure.
Ensure the entity ID column is populated for every row.
Confirm all IDs correspond to active (not archived) records.
Remove any empty columns within your data range before uploading.
Format date fields correctly for your region.
