Migrate Fixed-Term Tenancies to Rolling Terms (UK Renters' Rights Act)

You can bulk-migrate residential fixed-term tenancies to rolling (periodic) terms to comply with the UK Renters' Rights Act. The migration dashboard lets you review all eligible tenancies, migrate them individually or in bulk, and exclude any that don't require migration — with a full audit trail for every action.

This feature is available to UK customers only and requires the Edit Tenancy permission. Migration is permanent — once a tenancy is migrated to a rolling term, it cannot be reversed from the migration dashboard.


What Happens When You Migrate a Tenancy

When you migrate a tenancy from a fixed term to a rolling term, the following changes are applied automatically:

  • The current fixed term's end date is set to the migration date and marked as complete

  • Any custom reminders on the current term are deactivated

  • Any rights of renewal and their associated options and reminders are deactivated

  • A new rolling term is created with a start date of the day after migration

  • The tenancy is marked as residential (Is Residential = Yes)

  • This action cannot be undone from the migration dashboard

If the current term has the "Within the Act" setting enabled (Landlord and Tenant Act), this setting is carried over to the new rolling term automatically.


How to Access the Migration Dashboard

  1. Navigate to your Tenancies list page.

  2. Look for the orange banner at the top: "Action Required: UK Renters' Rights Act Compliance". The banner shows the number of tenancies pending migration.

  3. Click Review & Migrate to open the migration dashboard.

The banner only appears if you have the Edit Tenancy permission, your account is linked to a UK customer, and there are tenancies still pending migration. Once all tenancies are migrated or excluded, the banner changes to a blue informational message with a link to the migration dashboard.


How to Migrate Tenancies to Rolling Terms

  1. Open the migration dashboard and ensure you are on the Pending tab.

  2. Use the filters to narrow the list by customer, property manager, property usage type, property type, tenancy type, or property. You can also use the search bar to search by tenancy name, primary tenant, property name, area, or address.

  3. Select the tenancies you want to migrate using the checkboxes. Use the header checkbox to select all tenancies on the current page.

  4. Click Bulk Actions and select Migrate to Rolling. For a single tenancy, you can also click the three-dot menu on the row and choose Migrate to Rolling.

  5. Review the confirmation dialog, which lists exactly what will happen to each selected tenancy.

  6. Click Confirm to proceed with the migration.

You can migrate up to 500 tenancies at a time. If you need to migrate more, repeat the process in batches. All changes within a batch are applied as a single transaction — if any part fails, no tenancies are modified.


How to Exclude Tenancies from Migration

  1. On the Pending tab, select the tenancies you want to exclude.

  2. Click Bulk Actions and select Exclude from Migration. For a single tenancy, click the three-dot menu and choose Exclude.

  3. In the confirmation dialog, enter a reason for the exclusion (required, up to 500 characters).

  4. Click Confirm to exclude the selected tenancies.

Excluded tenancies move to the Excluded tab and are no longer counted as pending.


How to Restore an Excluded Tenancy

  1. Switch to the Excluded tab on the migration dashboard.

  2. Select the tenancies you want to restore.

  3. Click Restore to Pending.

Restored tenancies reappear on the Pending tab and can then be migrated or excluded again.


Tracking Migration Progress

The migration dashboard has three tabs, each showing a count of tenancies:

  • Pending — tenancies that still need to be migrated or excluded

  • Excluded — tenancies excluded from migration, with the user who excluded them, the date, and the reason

  • Migrated — a read-only audit view of all tenancies that have been migrated, including who performed the migration and when

When all pending tenancies reach zero, the Pending tab displays a completion summary. The banner on the tenancies list page changes from an orange warning to a blue informational message.


Which Tenancies Appear on the Pending List

A tenancy appears on the Pending tab if all of the following are true:

  • The tenancy is active and on an active property

  • The tenancy is marked as residential, or is on a Residential, Mixed, or Agricultural property and has not been classified yet

  • The tenancy has at least one active, non-cancelled, non-complete fixed term

  • The tenancy has not already been excluded

  • The tenancy is not in a holding-over state with an expired term

  • The tenancy belongs to a UK customer
