Display as Another Company: Use One Brand Across Documents (Beta)

Use the Display as another company setting to have outgoing documents, emails and SMS show a different company's name, address and logo — useful when you've set up separate companies for accounting but want one brand on tenant communications.

If you've set up separate companies in Re-Leased for accounting reasons — you can now choose to have outgoing documents, emails and SMS show a different company's name, address and logo. This means tenants, landlords and contractors see a single, consistent brand from you, while your accounting setup stays the way you need it.


You might enable this if your agency manages multiple owner entities but wants every invoice, receipt and tenant communication to go out under your trading name — for example, the property management company itself.

Availability: Available in all regions and off by default. Not currently available for customers using Trust Accounting.


How to Turn On Display as Another Company

  1. Navigate to Settings > Manage Companies and select the company you want to update.

  2. In the Company Details section, switch on Display as another company.

  3. From the company picker that appears, select the company you'd like to display as. You can choose any other active company within the same billing group.

  4. Scroll to the bottom of the page and click Save.

From this point on, the company you selected becomes the document identity for the company you're editing. Its name, address and logo are used in place of the original company's details wherever they appear on external-facing output.


Where the Display Company Appears

Once enabled, the chosen company's details replace the original company's details across all external-facing places, including:

  • PDFs — invoices, credit notes, receipts and remittances, tax returns, tenancy statements, budget certificates and outgoings statements, arrears letters, rent review documents, letter template downloads, insurance reports, job sheets, and forms & agreements.

  • Emails — invoice and credit note emails, tenancy statement and budget certificate emails, arrears correspondence, workflow approval emails, landlord portal invitations, tenant portal invitations and footers, user invitations, and bulk contact emails.

  • SMS — any template that uses the CompanyName merge field.

  • Tenant Portal — invitations, portal branding and invoice PDFs downloaded by your tenants.

  • External pages — the contractor quote response page maintenance contractors use to reply to your requests.

  • Exports and reports — the CompanyName column in the Invoice Details report.

  • Download filenames — PDFs that include the company name in the filename (such as receipts, remittances, job sheets and forms & agreements) use the display company's name.

Internal screens, your accounting data, and the integrations that sync to your accounting platform are unaffected. The change only applies to what people outside your organisation see.


Rules and Limits to Know

  • Same billing group only. The picker only shows companies in the same billing group as the one you're editing.

  • No daisy-chaining. A company that's already being used as someone else's display company can't itself display as a different company. If a company is currently selected as a display company elsewhere, the toggle is disabled until that's removed.

  • Trust Accounting customers won't see this setting. Trust account documents have their own statutory requirements and are out of scope.

  • You can turn it off at any time. Switching the toggle off restores the original company's name, address and logo on all subsequent documents.


A Worked Example

You run a property management agency. For accounting purposes you've set up a separate company in Re-Leased for each property owner you manage, so each one syncs to its own Xero file. Without this setting, every invoice you issue to a tenant on behalf of an owner goes out branded as that owner's company — which isn't how you want to appear to tenants.

By creating one company that represents your agency, adding it to the same billing group as your owner companies, then turning on Display as another company on each owner company and selecting your agency, every tenant-facing document and email now goes out under your agency's brand. Your accounting setup is unchanged.


Trust/Client Accounting terminology varies by region — "Trust Account" is standard in Asia-Pacific, "Client Account" in Europe, and Client/Trust Accounting does not apply to North American customers. For more information, see our Glossary of Regional Terminology.
