Gmail email integration with Re-Leased (beta)

Centralise your key email communication in one place and improve team collaboration. Now, with our seamless integration with Gmail, every email — incoming and outgoing — is automatically visible and neatly organised within Re-Leased. No more sifting through email threads or wondering what was missed! Integrated email is also the gateway to your Credia AI skills, empowered by a contextual understanding of email content and automated next best actions — such as creating a maintenance task, reminders and more directly from a received email.

Here's What You Need to Know

Our integration with Gmail includes several capabilities designed to streamline your property management communications:

  • Connect and disconnect seamlessly
    View only the emails exchanged with existing Re-Leased contacts. Emails are never stored, so emails are no longer visible when disconnecting.
  • View emails in Re-Leased
    See conversation views and threads linked to specific Re-Leased contacts or leases, making it easy to review past communications.
  • Enhanced email search
    Quickly find important emails using keyword, subject, or other search filters.
  • Visibility settings for collaboration
    Enable colleagues to view your interactions with shared contacts (and vice versa) to foster a collaborative approach, allowing anyone to pick up where another left off. 
  • Shared Inboxes
    Allow a team to share and manage a single email address together, for optimal collaboration.
  • Filters, controls and security
    Gain greater control and peace of mind by filtering specific domains and email addresses. Rest assured, your data is encrypted and complies with industry-leading security standards.

1. Getting Started with the Gmail Integration 

How to Connect Your Gmail Account:

  1. Navigate to My Account Settings from the main menu.
  2. Select Connected Accounts 
  3. Choose Connect to initiate the Google Gmail Authentication flow.
  4. Provide your Gmail email address.
  5. Input your Gmail password.
  6. Upon successful authentication, you'll be directed back to the User Settings to confirm the connection status
  7. Set your visibility and privacy settings from View Details 

You can select Disconnect at any time from the View details button to remove all previous emails from Re-Leased. 

2. Settings 

To adjust who can see your conversations and email clients, click View Details on the Gmail email connection tile. From there, you can update your visibility and privacy settings based on your needs.

  1. Visibility Settings is available only for Re-Leased customers on the Pro package. If you're on a different package, inbox content cannot be shared across your organization. For those with access, this setting lets you share your communications with colleagues for shared contacts. If they enable the setting, you can also view their conversations with the same contacts. This is especially useful when a teammate is away, allowing others to pick up the conversation seamlessly. To enable, simply toggle the Visibility Settings from grey to blue.

  2. Link shared mailboxes setting allows you to link shared mailboxes —like maintenance@companyemail.com or accounts@companyemail.com — to your inbox in Re-Leased, as long as you already have access to them. To start reading these emails, simply click Grant Access.

  3. To control which email addresses or domains are included in the Gmail email integration, go to the Inbox Filters tab. These settings only affect your My Inbox privacy preferences on the Re-Leased Dashboard. Excluding or including certain email addresses or domains to be shown in your inbox is useful when sensitive emails need to be kept private while sharing key conversations with your team as well as in those cases when unwanted emails from spam servers need to be blocked. You can add as many email addresses or domains as needed to your rule list. Just type the full email address or domain, then choose Include or Exclude from the dropdown menu. If you need to remove a rule, click the trash bin icon next to it.

3. How to View Emails in Re-Leased

You can read your Gmail emails in Re-Leased in three ways:

  1. From the My Inbox tab on the Re-Leased Dashboard
  2. From a specific Tenancy area under Emails section
  3. From a specific Contact's Emails section

1. Reading emails via My Inbox
This is the quickest way to access your Gmail emails. Simply navigate to the My Inbox tab on the Re-Leased Dashboard. 

2 & 3. Reading emails via tenancies or specific contact

  1. Navigate to Tenancies or a specific Contact
  2. Select the Emails tab
  3. Identify messages by the Property Manager's Gmail account name or select a different account from the dropdown menu to view their emails (if they have connected and their accounts are visible)
  4. Use the search box to find specific email content.
  5. Flick between your Inbox view or Sent Mailbox view
