Best practices for Credia Plus Custom Rules in Re-Leased — write effective instructions and examples for insurance notes, maintenance notes, emails, compliance descriptions, and expense invoice descriptions.

Credia Custom Rules let you personalise AI-generated content in Re-Leased by defining instructions and writing examples for each content type. Once a rule is active, Credia uses it automatically for that category. Only one rule can be active per category at a time.

The Two Components

Custom Instructions (required) — clear directions telling the AI what to do or avoid:

  • ✅ "Always mention the property address at the start"

  • ✅ "Use Australian English spelling (e.g. organisation, not organization)"

  • ✅ "Include urgency level (Low/Medium/High) in the first sentence"

  • ❌ "Make it good" — too vague

  • ❌ Contradictory requirements

Writing Style Examples (optional) — real samples of how you want content written. Add examples when you have a consistent style and can share 3–5 good samples. Skip if your style varies or you just need simple rules.


Insurance Notes

AI has access to document content (policy numbers, dates, amounts) and insurance types. Example prompt: "Start with policy number and insurer. List coverage types and amounts. Mention exclusions and dates." Example output: Policy ABC-12345, ACME Insurance Co. Public Liability $20M, Building Insurance $5M. Flood damage excluded. Policy period: 1 Jan 2024 – 31 Dec 2024.


Maintenance Notes

AI has access to input text, maintenance type, and property address. Urgency-first prompt: "Start with urgency level [Low/Medium/High], then describe the issue, location, and safety concerns. Keep under 100 words." Example: High. Broken hot water system at 123 Main St, Unit 4. No hot water for 48 hours. Leaking from pressure valve. Immediate attention required.


Draft Emails

AI has access to input text, work order details, and recipient type (Contractor, Tenant, Owner). Formal prompt: "Use formal Australian English. Start with 'Dear [Name],' and end with 'Kind regards,'." Friendly prompt: "Keep tone warm. Use contractions and start with 'Hi [Name]'. End with 'Thanks,' or 'Cheers,'."


Document Descriptions

AI has access to document content and file name. Prompt: "Identify document type first. Summarise key information: dates, parties, amounts." Example: Plumbing Invoice – Anderson Plumbing Services, 15 Jan 2024. Emergency repair of burst pipe. Total $630 inc GST. Paid via EFT 18 Jan 2024.


Compliance Descriptions

AI has access to file name, compliance type, and property title. Prompt: "State compliance type and property address. Include certificate number, dates, and pass/fail status." Example: Smoke Alarm Compliance Certificate – 156 Valley Rd. Cert #SA-9921. Inspected 5 Mar 2024. Status: Pass. Valid until 5 Mar 2025.


Notes

Prompt: "Write in third person. Start with main point or action required. Include dates and deadlines. 3–4 sentences maximum."


Reminders

Prompt: "Start with timeframe (Today/Tomorrow/This Week). State what needs to be done and why. Include reference numbers."


Expense Invoice Descriptions

A strong prompt tells Credia: (1) where on the invoice to find the data, (2) what format it appears in, and (3) how to reformat it in the output. The more specific, the more accurate. Always provide an example of the desired output.

Water Rates

Prompt: "Look for the date range linked to 'Fixed charges'. It will appear as '01 Nov 25 to 28 Feb 26'. Reformat as 'Water Rates DD/MM/YYYY – DD/MM/YYYY'." Output: Water Rates 01/11/2025 – 28/02/2026

Council Rates

Prompt: "Start with 'Council rates for' followed by the full property address. Find the rating period under 'Rate period' or 'Instalment period' and reformat as DD/MM/YYYY – DD/MM/YYYY." Output: Council rates for 1 Bowmont Lane, Hawthorn VIC 3122, 01/10/2025 – 31/12/2025

Strata

Prompt: "Start with 'Strata levy for'. Find the strata plan number (e.g. SP 6078). Find the levy period and reformat as month and year only." Output: Strata levy for SP 6078, November 2025 – January 2026

Multiple invoice styles for the same type

If you receive invoices from different suppliers with different layouts for the same invoice type, include supplier-specific instructions in a single rule. Name the exact label and date format for each supplier, and provide example outputs for both.

Note: If results are inaccurate, make your prompt more specific — name the exact label on the invoice, describe the format the data appears in, and provide an example of the desired output.
