Rent Free Periods in Re-Leased

How to set up and manage rent-free periods in Re-Leased — covers adding, editing, calculation options, reading the billing timeline, and creating one-off invoices for rent-free dates.

Rent-free periods in Re-Leased let you define date ranges where no rent is charged. Set them once and the system updates the billing timeline and invoices automatically — across billing cycles, breaks, and renewals. You can add rent-free periods as soon as a lease has an active or upcoming term, even before a rent template has been set up.


Accessing Rent-Free Periods

Open the tenancy and go to Rent & Outgoings > Rent-Free Periods.

Adding Rent-Free Periods Before a Rent Template Exists

You can now record rent-free periods on a lease that has an active or upcoming term but no rent template yet. This lets you set up tenancies in advance and capture rent-free periods for reporting without configuring invoicing first.

  1. Open the tenancy and navigate to the Contract Rent tab.

  2. In the Rent free periods section, click Add rent free period.

  3. Enter a Start date and End date within the lease term dates.

  4. Add an optional description for internal tracking.

  5. Click Save.

The rent-free period appears in the list showing its date range and description. You can add multiple rent-free periods — each with its own date range.

Rent-free periods entered without a rent template will be automatically applied to invoices once a rent template is added to the lease. An information banner on the Contract Rent tab confirms this behavior.

If the lease has only an upcoming future term (no current term), the allowed date range for rent-free periods matches the upcoming term's start and end dates.

Below the rent-free periods section, a Create Rent button takes you to the rent and outgoings page when you are ready to set up a rent template.


How Rent-Free Periods Carry Over When a Rent Template Is Added

When you add a rent template to a lease that already has rent-free periods recorded:

  1. Navigate to the lease and create a rent template as normal.

  2. Return to the Contract Rent tab.

  3. The billing timeline now appears, and previously entered rent-free periods are visible and applied to the appropriate billing cycles.

No additional steps are required — the system applies the rent-free periods to the generated billing cycles automatically.


Setting the Calculation Basis

Use Calculation Options to control how rent and timelines are calculated during rent-free periods: Original Lease Term, Right of Renewal, or Lease Break.

  1. Click Calculation Options and select the option to apply.

  2. The billing timeline refreshes automatically.

Adding a Rent-Free Period to an Existing Billing Timeline

When a lease already has a rent template and billing cycles:

  1. Click Add Rent-Free Period.

  2. Enter the Start and End dates.

  3. Add an optional description for internal tracking.

Rent-free periods can span multiple billing cycles. You can also add multiple rent-free periods within the same billing cycle — for example, covering the first week and last week of a month separately. The adjusted rent amount for that billing cycle reflects the total free days from all periods combined.

Editing or Deleting a Rent-Free Period

  1. Click Edit to change dates or details, or Delete to remove the period.

  2. The billing timeline updates automatically after any changes.

The Tenancy Summary shows a smoothed monthly rent that factors in rent-free periods, giving a consistent revenue picture across the term.


Reading the Billing Timeline

The Billing Timeline shows rent across the current term with rent-free adjustments applied. Each billing cycle displays the rent amount, billing dates, and one of four statuses: Paid, Unpaid, Upcoming, or Pending Review.

When multiple rent-free periods apply to the same billing cycle, each period is shown separately within that cycle's timeline row with its own date range and description.

The billing timeline mirrors the frequency and date ranges set in your Rent Template. It is only visible once a rent template has been added to the lease.​


When Rent-Free Periods Cannot Be Created

  1. The lease has no active or upcoming term.

  2. The billing cycle is already Paid.

  3. The tenancy was billed outside Re-Leased during onboarding.

  4. The billing cycle has a pending rent review.

If a period is locked by billing history, update or reconcile those invoices first.


Creating a One-Off Invoice for a Rent-Free Period

  1. Open the tenancy Summary tab and click Create One-Off Invoice.

  2. Enter dates that align with the rent-free period to keep documents and timelines in sync.
