Recording sales figures for a period

Enter a tenant's sales each period, override the calculated rent, and edit recorded figures.

Turnover rent is currently available to a limited group of customers as part of a beta.

As each tenant reports their sales, you record the figures against the relevant period. Re-Leased calculates the turnover rent for you as you type, so you can see the amount payable straight away. This article covers recording, editing, and overriding sales figures.

Before you start

The lease needs turnover rent enabled and at least one term in place. See Setting up turnover rent on a lease.

Find the tenant and period

  1. Open the Turnover Rent hub.

  2. On the Sales data tab, find the tenant in the grid. If a tenant isn't listed yet, use Set up tenant to add them.

  3. Each column is a period. The status of each period helps you see what needs attention:

    • Submitted — sales have been recorded.

    • Overdue — the period has passed and no sales are recorded.

    • Due soon — the period is open for reporting.

    • Future — the period hasn't started yet.

    • Inactive — turnover rent doesn't apply to this period.

  4. Select the period cell you want to record sales for.

Enter the sales figures

  1. Check the Period shown at the top of the dialog is correct.

  2. Enter the sales:

    • If the lease uses categories, enter the sales amount for each category.

    • If it doesn't, enter the single sales amount.

  3. Re-Leased calculates the turnover rent and shows it next to the figures. You can expand the breakdown to see how it was worked out.

  4. Attach any supporting documents, such as a sales certificate, by dropping the files into the attachments area.

  5. Add any notes if you need to record context for the figure.

  6. Select Save.

Overriding the calculated turnover rent

If you need to charge a different amount to the one Re-Leased calculates, switch on Override calculation, enter the amount you want to charge, and add an override reason. The reason is required so there's a clear record of why the figure was changed.

Missing period warnings

If the tenant has earlier periods with no sales recorded, Re-Leased shows a warning. This matters when turnover rent is calculated cumulatively, because missing periods can affect the current period's figure. Record the earlier periods, or acknowledge the warning if you're sure they should be left blank.

Editing sales you've already recorded

Select a submitted period to view the recorded sales, then choose to edit them. The period itself stays fixed, but you can update the amounts, attachments, notes, and any override. You can't edit figures once the period has been reconciled.
