For our Asia-Pacific customers, the term "Trust Account" is used, while European customers refer to it as "Client Account". It's important to mention that the Client/Trust Accounting functionality does not apply to customers in North America. This article will guide you through the process of archiving a Client/Trust Account within Re-Leased. Archiving is a permanent action intended for accounts that are no longer active and need to be removed from your current list of accounts. Below, we have provided a comprehensive checklist to ensure your Client/Trust Account is fully prepared for archiving as well as the procedure for requesting archiving through our support team.
Pre-Archive Checklist
Prior to reaching out to the Re-Leased support to archive a Client/Trust Account, it's important that you complete the following checklist to ensure the account is ready to be archived:
- The account balance should be exactly $0.
- All ledger balances associated with the Client/Trust Account must also be $0.
- Ensure there are no transactions awaiting reconciliation.
- Check that there are no unpresented payments or deposits.
- Confirm that the Client/Trust Account is fully balanced.
- Verify that no properties are linked to ledgers in the Client/Trust Account.
- Bond/Deposit ledgers should have a zero balance.
- There should be no outstanding bonds.
- All outstanding ledger tasks must be completed or removed.
Attending to the above items will minimize potential errors and help maintain the integrity of your financial data before the account is archived.
Requesting Archive of a Client/Trust Account
If your Client/Trust Account meets all the conditions listed in the checklist above, you are now ready to have it archived. To do this, simply reach out to a Re-Leased customer support agent who will assist you with the process:
- Contact Re-Leased Support via the Help Centre support portal.
- Provide confirmation that all items in the pre-archive checklist have been completed.
- Include the name and specific details of the Client/Trust Account you need to archive.
A support agent will then review your request and proceed with the archiving. Please remember that once a Client/Trust Account is archived, it cannot be restored. Should you archive an account in error, you will need to create a new Trust Account entirely.
