Budgets by Area: Emailing Budget Certificates

The term "Budget" varies depending on the region. For our Asia-Pacific customers, it's often referred to "Budgeted Outgoings." European users will see it labelled as "Service Charge," while those in North America will find it listed as "Operating Expenses." The terminology used in the app adjusts based on your location. This article is designed to guide you through the process of emailing budget certificates to your tenants directly from a Budget by Area. Whether you need to send these certificates to owners or tenants, we’ll show you how to select the appropriate certificate type, configure the email layout, choose recipients, and finalize the email content before sending.

Choosing Owner or Tenant Certificates

Determining who should receive the certificate—owner or tenant—is the first step in the emailing process:

  1. Navigate to the Budget from the property.
  2. Go to the Reports tab of the budget.
  3. Choose between the owner's certificate or the tenant's certificate depending on your needs.

This will ensure that the correct information is included in the certificate sent to your contacts.


Configuring the Email Attachment Layout

To make sure your certificate looks professional and aligns with your branding:

  1. Within the Budget, click on Email Certificate.
  2. Set up the attachment layout by choosing your preferred orientation and grouping.

Selecting the Recipients

Choosing who will receive the budget certificate is simple:

  1. From the Email Certificate section, click on the Select Contacts button.
  2. Browse through your contact list or use the search function to find specific individuals or groups.
  3. Select the names of the contacts you wish to email.

Email Confirmation and Sending

The last step is to finalize and send your email:

  1. Confirm the email subject line and body text; you may customize these for a personal touch or clarity.
  2. Preview the email to ensure everything appears as expected.
  3. Once satisfied, click on the Email button to send the certificates to your selected contacts.

Each contact selected will receive an email containing a zip file with their applicable budget certificate.
