Viewing a Budget by Area

The term "Budget" varies depending on the region. For our Asia-Pacific customers, it's often referred to "Budgeted Outgoings." European users will see it labelled as "Service Charge," while those in North America will find it listed as "Operating Expenses." The terminology used in the app adjusts based on your location. This article takes you through the various aspects of viewing and managing your Budget by Area once it has been created. You’ll learn about the different tabs available for budget details and how to effectively use the tools and features each one offers to ensure your budget aligns with your financial goals.

Budgets Toolbar

The toolbar at the top of the budget page contains options which vary depending on the status of the budget.  Draft budgets have the following options:

  • Edit Budget: Modify initial budget details.
  • Edit Tenancy Concessions: Update concessions specific to each tenancy, such as caps, collars, fixed amounts, percentage of rent, and whether rent is inclusive or gross against the Tenancy. add article..
  • Manage Budget Areas: Adjust areas included or excluded in the budget.
  • Create Schedule: Add new schedules to the budget.
  • Approve Budget: Begin the budget approval process.


After the budget has been approved the options will change to:

  • View Details: View initial budget details.
  • View Tenancy Concessions: View concessions specific to each tenancy.
  • Modify: Return an approved budget to draft status.
  • Roll Over: Copy this budget to the next consecutive period.
  • Lock / Unlock: Lock or unlock invoices in preparation for reconciliation.
  • Reconcile: Begin the budget reconciliation process, only available after locking.

The option to Archive the budget is available at the bottom of the page. 


Understanding the Budget View Tabs

After creating your budget, you can access its details via four different tabs. Each tab offers unique information and tools.


Summary Tab

  • The Summary tab gives a snapshot of the budget, including schedules, accounts, budgeted cost and allocated percentage.
  • The Schedules against the Summary tab can be expanded and collapsed using the arrows on the right-hand side.


Details Tab

The Details tab expands on individual budget items, allowing you to:

  • Toggle the display between percentage and amount allocations.
  • Access and edit tenancy details directly.
  • Modify the schedules of the budget.
  • Change the display of budget allocations.



Owner Contribution Tab

The Owner Contribution tab is designed to highlight the owner's potential financial responsibilities that arise from:

  • Concession shortfalls.
  • Areas that are vacant.
  • Allocations not fully accounted for.

If no liabilities are present for the Owner, the displayed contribution will be $0.



Reports Tab

Under the Reports tab, the below three reports will be available. Once the budget is approved, further reports become available.
