Archive and Restore a Lease/Tenant

For North American users, please be aware that "Tenancies" are known as "Leases" and "Terms & Breaks" within a Tenancy are referred to as "Terms & Options". For more information on regional terminology, please refer to our Glossary of Regional Terminology.

This guide is designed to walk you through the process of archiving a lease/tenant in Re-Leased. Archiving a lease/tenant is a handy way to keep your lease/tenant list current and manageable by removing old or inactive lease/tenant records from active search results and reports. Below we provide a straightforward method to successfully archive a lease/tenant while ensuring that you can still access their details if needed in the future.

When to Archive a Lease/Tenant

Archiving should be considered when:

  • A lease/tenancy has ended, and you no longer need regular access to the lease/tenant's details.
  • There are no longer outstanding invoices or credit notes.

Steps to Archive a Lease/Tenant

  1. Search and select the lease/tenant you wish to archive and navigate to the Lease/Tenancy Details tab.
  2. Scroll to the bottom of the page to find the Archive option.
  3. Confirm the archiving action when prompted.

Remember, archiving a lease/tenant will remove them from active search results and reports, which helps to maintain a tidy and efficient database.

What Happens After Archiving?

Archived leases/tenants are not deleted from Re-Leased; they are simply hidden from the default list. You can view and access archived lease/tenant information by:

  1. Navigate to the Leases/Tenancies section in the top menu. and select the Archived tab at the top of the page.
  2. Using the preview or restore options available for each archived lease/tenant.

Alternatives to Archiving

If you need to retain easily accessible details or edit the lease/tenancy file, consider cancelling the current term instead of archiving it. Cancelling a term keeps the lease/tenant on your active list without ending the entire lease/tenancy. Head to Cancelling & Restoring Terms for more information. 

 

Restoring an Archived Lease/Tenant

Should you need to restore an archived lease/tenant:

  1. Navigate to the Leases/Tenancies section in the top menu. and select the Archived tab at the top of the page.
  2. Select the lease/tenant you wish to restore and use the restore option provided.

Restoring a lease/tenant will return their details to your active lease/tenancy list, allowing you to update or reference their information as required.
