Performing Bulk Rent Reviews

For North American users, please be aware that "Tenancies" are known as "Leases" and "Terms & Breaks" within a Tenancy are referred to as "Terms & Options". For more information on regional terminology, please refer to our Glossary of Regional Terminology.

Bulk Rent Reviews streamline the process of applying multiple rent changes across different tenants. Whether you're adjusting for inflation or market rates, this feature makes it easy to handle all your rent adjustments in one go. 

Initiating a Bulk Rent Review

  1. Go to the Leases/Tenancies section.
  2. Click on Rent Review Hub.
  3. Choose the upcoming rent reviews by checking the box on the left side.
  4. After selection, click on Perform rent reviews.

Searching and Selecting Rent Reviews

After commencing a new review:

  1. Use the provided search filters such as Company, Property Manager, Date, and Review Type. Note that you can select multiple Review Types simultaneously using the multi-select box, and additionally filter using Keywords or Tags.
  2. The Price Index Reference table is accessible for those in regions like the UK, Jersey, Australia, and NZ, offering the latest CPI/RPI data to easily update Adjustment Percentages for your reviews.

Adjusting Rent Reviews

  1. View the rent reviews that match your criteria. Click on Property, Tenancy, or Current Annual Rent for detailed information, which will open in a new tab.
  2. Adjust Current Annual Rent either by percentage or a set dollar amount as required.
  3. Select the Rent Reviews you wish to proceed with by checking their corresponding select boxes. Select all or deselect all with the topmost checkbox.

Reviewing and Finalizing Adjustments

  1. On the Review Adjustments page, confirm all Rent Review details. This page is read-only and will show Prorated Rent Adjustments and future-dated invoice details.
  2. Proceed to the Review Correspondence screen to summarize the communication to be sent to contacts, including any attachments related to Rent Adjustments.
  3. Include any necessary Forms & Agreements.

Customizing Correspondence

You have the option of including a Form & Agreement in the correspondence to the Tenant. To do this:

  1. Navigate to the Settings menu and locate the Templates option under the Communications section to create a new one.
  2. Then head back to Settings and locate the Review Types under the General section. You are then able to allocate a Form & Agreement template. You can allocate different templates to different Rent Review types.

Handling Communications

Review the default contacts for correspondence, making any necessary changes to delivery methods or contact details if the default options of Download only are triggered by a lack of email address or permission.

Completing the Rent Review Process

  1. Finalize selections by clicking Complete Rent Reviews. The system will generate and send documents to Tenants, and notify you when ready for download.
  2. Utilize the Bulk Rent Review landing page to manage completed, processing, or in-progress reviews. Resume any that are left in-progress or start new ones as needed.

Accessing Documents and Reviewing Sent Emails

To view Rent Review documents and email statuses, click on the Downloads link provided.

By following these steps, Bulk Rent Reviews are made simple and efficient, relieving you of the manual task of adjusting each rent individually and ensuring consistent communication with all Tenants.
