Archiving and Restoring Documents

How to Archive Documents

When certain documents are no longer in active use but need to be kept for record-keeping or compliance purposes, archiving is a practical solution. Here's how to archive documents:

Archiving From the Documents Tab

  1. Navigate to the Documents tab and locate the document you wish to archive.
  2. In the documents option, select Document Details tab.
  3. Click on the Archive option at the bottom of the page.

Editing Document Details

Perhaps you need to make edits to a document's details. Here's what you should do:

  1. In the document's options, select Document Details.
  2. Edit the necessary information, like the company, document title, property, and tenancy details, if applicable.
  3. Select to Save to update the changes.

Replacing an Existing Document

If you're looking to replace a document with an updated version, you can do so with ease:

  1. Click on the document's Title/Description.
  2. Under the Summary section, choose the Replace option.
  3. By replacing a document, you archive the old version and simultaneously upload the new one.

Restoring Archived Documents

Should you need to access an archived document again, restoration is simple. Follow these steps to bring a document back to its original location:

  1. Go to the Documents Tab and select the Archived Documents tab.
  2. Find the document you wish to restore.
  3. Click on Restore next to the document in question.
  4. Confirm the action by reconfirming that you want to Restore this document.
  5. Upon restoration, the document will appear back in its original location for further use or reference as needed.
