The Maintenance Hub centralizes all property maintenance tasks, enabling you to effectively oversee and manage maintenance across all your properties. Whether you're looking to create a new task, sort and filter through existing ones, or manage work orders and quotes, the Maintenance Hub simplifies your workflow. This guide will equip you with the knowledge to navigate and utilize the Maintenance Hub for all your maintenance management needs.
Accessing the Maintenance Hub
From your Dashboard, locate and click the Maintenance Hub tile, situated to the right of the calendar.
Navigating the Maintenance View
The Maintenance View provides a comprehensive list of all your maintenance tasks. Here's how to use it effectively:
- Click Create Maintenance to start a new maintenance task.
- Use the filter criteria to refine the list, and select a Status/Tags/Properties to further arrange the content.
- Organize the list by clicking on column headings to sort.
- Open a specific Maintenance Job by clicking its Title.
- Review property information through the Property link, or tenancy details via the Tenancy link.
- Access contractor details by clicking the Contractor link.
- For additional options, click the Contextual Menu [...] next to each task.
More Options in Maintenance View
When clicking the Contextual Menu [...] more options are available:
- Complete Task: Finalise the task and mark it as complete.
- View Task: Navigate to the Task Details page to make edits.
- View Job: For recurring maintenance tasks, see all associated tasks in the series.
- Delete Task: This will remove the task and will no longer be available.
Managing Work Orders
- Use filters to organize the list of work orders to your preference.
- Click on the Work Order# link for editing, printing, or emailing work orders.
- Preview attached maintenance or property files.
- Open the contractor's contact file via the contractor name link.
- Use the Contextual Menu [...] to Complete or Cancel a Work Order.
Handling Quotes
- Filter the view to display quotes that matter to you.
- Preview relevant maintenance or property files using the links provided.
- Check the number of contractors requested for quotes and the number of responses received.
- Select the View link to view recipients, responses, and accept quotes.
