Displaying Property and Lease/Tenancy Notes on the Invoice Screen

For those located in Asia-Pacific and Europe, the term "Tenants" is used, whereas customers located in North America will be familiar with the term "Leases". For further information on regional terms, check out our Glossary of Regional Terminology.

This article will guide you through the process of viewing Property and Lease/Tenancy notes directly on the invoice screen. Having this visibility can be crucial when creating or editing invoices, as it allows for easy reference to important details that may impact the invoicing process. Let's walk you through enabling this useful feature and managing note types for invoices in your company settings. 


Enabling Property and Lease/Tenancy Notes for Invoices 

To activate this feature, you need to adjust your company settings: 

  1. Go to the Settings tab, click on Manage Companies and select your company. 
  2. On the Company Details page, locate the Invoicing section. 
  3. Check the box next to Enable Notes for Invoices
  4. Scroll to the bottom and click Save to apply the changes.

Enabling Note Types to Display on the Invoice Screen 

Next, you'll need to decide which note types should be visible when creating or editing invoices: 

  1. From the Settings tab, go to the General section and select Note Types
  2. Pick an existing note type and tick the Display This Type of Note When Creating/Editing Invoices option. 
  3. Remember to enable this for each note type you wish to appear on the invoice screen.

Viewing Notes on the Invoice Screen 

Once you have enabled the feature and selected your note types, viewing notes on the invoice screen is straightforward: 

  1. Start creating a new invoice or edit an existing one. 
  2. Notes related to the selected Property and Lease/Tenancy will appear in a list on the right side of the screen. 
  3. When a Property and Lease/Tenancy is chosen, notes will filter to display only those relevant to the selection. 
  4. To expand or collapse the details of each note, click the arrow next to it. 
  5. Use the search function to find specific words or phrases within the notes. 
  6. To add a new note directly from the invoice screen, click the green cross icon. 
  7. The arrow button allows you to show or hide the notes panel. 


By following these steps, you'll be able to integrate important notes into your invoicing workflow effectively, ensuring that all pertinent information is at your fingertips when you need it.
