Editing and Voiding Credit Notes

For our Asia-Pacific customers, the term "Trust Account" is used, while European customers refer to it as "Client Account". It's important to mention that the Client/Trust Accounting functionality does not apply to customers in North America. Whether you need to edit or void a credit note, allocate it to different invoices, or understand how these changes sync with Xero, this guide will take you through the process step-by-step. By the end of this read, you'll be equipped to handle credit notes confidently.

 

Managing Existing Credit Notes

To manage existing credit notes, start by navigating to the following:

  1. Go to the Income and Expenses menu.
  2. Select either the Income or Expenses tab and change the Invoices drop-down box to Credits.
  3. Enter the credit note number in the search bar to locate it.

Editing Credit Notes

For editing credit notes:

  1. First, review the credit note history by selecting View History.
  2. To allocate it to an invoice, click the Allocate Credit option.
  3. Click on Edit Credit Note to edit credit note details as needed.

When syncing changes from Xero, initiate a sync in your software by following these steps:

  1. Go to Settings.
  2. Navigate to Manage Add-ons and Integrations.
  3. Select Xero to sync the changes.

Note: Allocated credits limit the editing to only the Account field. To perform more comprehensive edits, you may need to follow these steps:

  1. Navigate to Less allocations of within the credit note itself.
  2. Next to each allocation, click Delete and confirm the removal.

 

Voiding Credit Notes

To void a credit note, locate the Void Credit Note option within the credit note's details. If you need to unallocate a credit note before voiding, you may:

  1. Click on Less Allocations of in the credit note details and delete the allocations as necessary.
  2. Alternatively, go to the invoice where it's been allocated and use the Less Credits of option to remove the allocation.

 

Copying a Credit Note

To duplicate a credit note, ensure that its status is Approved, Awaiting Approval, Paid, or Voided:

  1. Locate the credit note under Income & Expenses.
  2. In the credit note details section, find the Contextual Menu [...].
  3. Choose Copy Credit Note from the selection available.
