Deleting a Contact

Deleting Archived Contacts

warning_32.png Important: Once a contact is deleted, this action cannot be undone. Please double-check before confirming the contact deletion process.

To begin the deletion process of archived contacts, you need to:

  1. Go to the contact archive tab within your Re-Leased platform.
  2. Locate the delete button. When selected, a prompt will appear to confirm the deletion.
  3. Confirm that you understand the following will occur upon deletion:
    • Removal of personal data
    • Erasure of all contact correspondence associated with that contact
  4. Proceed with the deletion by clicking 'Delete This Contact'.

Once confirmed, Re-Leased will:

  • Anonymize all contact data, clearing all fields except for the Name, which will be changed to "Deleted Contact".
  • Delete all contact documents and emails to the best of our ability. It is recommended to double-check and manually delete any contact documents that have not been deleted.
  • Remove the contact from the 'Archived' tab, making it no longer visible.

Accounting Integrations

Currently, we do not support the ability to sync contact deletions with accounting integrations. This is something we are looking to enable in future. 

User Permissions for Deleting a Contact

To avoid accidental deletions, the ability to delete a contact is limited to users with Can Archive Contact permissions and system administrators only. If the delete option is unavailable, your administrator may need to grant you the necessary permissions.

Logging and Audit Information

The system will log the deletion of a user and add a corresponding entry in the audit trail. The identity of the deleted user will be anonymized, preserving confidentiality while maintaining an informative audit record.
