Using Credia Extract to import compliance records in seconds

Use Credia Extract: Compliances to quickly extract key details from compliance certificates and import multiple records into Re-Leased with a single click. Whether you're adding individual or multiple compliance records or bulk importing data from a CSV file, Credia simplifies the process, saving you time and reducing manual data entry.

 

Getting started

There are 2 ways with which you can leverage Credia to upload your compliance records:

Create with Credia

Using the Create with Credia button, you can bulk upload your compliance documents straight into the Compliance Hub as Credia Extract processes the documents.

The second involves navigating to Property Management > Compliance > Add Compliance > Import Compliances

There are two ways to import your compliance records in bulk: via PDF or a CSV file upload. Here's what you need to know for each method:

Importing single or multiple compliance records (pdf)

  1. Select the company from your account to which you'd like to upload compliance records.
  2. Upload PDF file(s) as required. Each file will represent a single compliance.
  3. Once you have uploaded your documents, Credia Extract will begin processing each compliance document.
  4. Once the upload is complete, a the document is then Ready for Review, you will be able to edit the following fields
    • The compliance template you're following,
    • Record name,
    • Type of compliance,
    • Property associated with,
    • Assignee for the record,
    • Expiry date of the compliance,
    • Responsible party,
    • Areas.
  5. A document preview enables you to easily locate and verify these details.
  6. Upon confirmation of your import, you may opt to mark the record as compliant or incomplete.

NOTE: A document can only be marked as compliant if you have fulfilled any required prerequisites that pertain to a compliance template like tasks. To learn more about compliance templates, visit this help article.

Importing records via CSV File

When using a CSV file for import, start by preparing your CSV file with your compliance details outlined in the csv file upload template provided. This template is accessible within the first step of the import, see below.

  1. Select your company and proceed to upload the CSV file containing compliance details that are organised like the provided template.
  2. The import tool validates your data.
  3. Fill out the necessary inputs for the compliance template, name, type, property, assign to, and expiry, before confirmation.
  4. Complete the process by confirming your import.

Important: It's imperative that the CSV data mirrors the structure of our template to ensure a successful import. Please review our template and prepare your records accordingly before beginning the upload.
