Consolidating Line Items for Rent and Outgoings Invoices

Overview

The "Consolidate Line Items" setting provides a simplified invoice presentation for rent and outgoings/service charge invoices. When enabled, this feature displays multiple line items as a single entry with a descriptive label showing the relevant period.

How It Works

When the "Consolidate Line Items" setting is turned on:

  • Rent Invoices: All line items will be consolidated into a single line displaying "Rent for the period [start date] - [end date]"
  • Outgoings/Service Charge Invoices: All line items will be consolidated into a single line displaying "Outgoings for the period [start date] - [end date]"

Important Limitations

  1. Invoice Type Restriction: This setting only works with rent and outgoings/service charge invoices. Other invoice types will continue to display all line items individually.
  2. Tax Rate Column Compatibility: The optional tax rate column cannot be displayed when the "Consolidate Line Items" setting is enabled. These two settings cannot be used simultaneously.

Connected Accounting Integrations

Setting Up Line Item Consolidation

  1. Navigate to Settings > Invoice Templates > Edit/Create new template
  2. Locate the "Consolidate Line Items" option
  3. Toggle the setting to "On" to enable consolidation
  4. Save your changes

Examples

Before Consolidation:

  • Line Item 1: Base Rent - $1,000
  • Line Item 2: Additional Rent - $200
  • Line Item 3: Parking Fee - $50

After Consolidation:

  • Single Line Item: "Rent for period 20/02/2025 - 20/03/2025" - $1,250

Best Practices

  • Use this feature when you want to provide tenants with cleaner, simplified invoices
  • Consider tenant preferences - some may prefer detailed breakdowns while others prefer consolidated totals
  • Review sample invoices after enabling this feature to ensure they appear as expected
