Allocating Work Orders in Bulk

Allocating multiple work orders takes too long

Use Bulk Allocation in the Compliance and Maintenance Hubs to assign many work orders (WOs) to one supplier in a few steps. You create or add more WOs as you go, preview a single combined PDF, and allocate based on supplier compliance. This approach cuts manual work and keeps your communication clear.

Prepare required work orders

  1. Identify the maintenance tasks or compliance records that require new or existing work orders.
  2. Create any additional standalone work orders you plan to allocate.

Tip: You can also create new work orders during allocation if you need to add more items on the fly.

Allocate from the Maintenance Hub

  1. Open the Dashboard.
  2. Select Property Management.
  3. Open Maintenance to access the Maintenance Hub.
  4. Select the Work Orders tab.
  5. Select each work order you want to allocate by using the checkboxes.
  6. Select Assign to Supplier.
  7. Optional: Select Add More Work Orders to create and include additional work orders.
  8. Select Preview Work Order to review a single combined PDF for the supplier.
  9. Search for the supplier in Select a Supplier, then choose the supplier.
  10. Select Save to assign the selected work orders to the supplier.

Allocate from the Compliance Hub

  1. Open the Dashboard.
  2. Select Property Management.
  3. Open Compliance to access the Compliance Hub.
  4. Select each compliance record you want to create work orders against by using the checkboxes.
  5. Select Bulk Actions, then select Create and Send Work Orders.
  6. Optional: Select Add More Compliances to include more compliance items.
  7. Optional: Select Add More Work Orders to create and include additional work orders before assigning.
  8. Search for the supplier in Select a Supplier, then choose the supplier.
  9. Select Save to send and assign the new work orders to the supplier.

Review supplier compliance before allocating

If you allocate based on supplier compliance status, review the supplier’s compliance first. For details on supplier compliance status and filters, see Supplier Compliance.

Important: Preview the combined PDF before saving to confirm scope, properties, and instructions match what the supplier should receive.
