How to Allocate Work Orders in Bulk

This article provides instructions on how to efficiently allocate multiple work orders to a single supplier using the new bulk allocation feature within the Compliance & Maintenance Hub. Our goal is to streamline your workflow by simplifying the way you assign work orders, saving you time and effort.

Understanding the Bulk Allocation Feature

The bulk allocation feature is designed to enhance productivity by allowing you to:

  • assign multiple work orders (WOs) to a single supplier at once,
  • combine multiple work orders into a single PDF document for the supplier,
  • create new work orders in addition to those you have selected,
  • assign work in bulk to suppliers based on the status of their compliance. See Supplier Compliance for more detail.

We've introduced this feature to create value by transforming a previously tedious, one-to-one assignment process into an effortless bulk action. Users can now instantly create and allocate multiple work orders to a contractor, ensuring a more streamlined management process.

How to Use the Bulk Allocation Feature

Preparing to Allocate Work Orders

Before you can allocate work orders in bulk, ensure you have all the necessary WOs prepared. You can create these from existing maintenance tasks or compliance records, or directly as standalone work orders.

Bulk Allocating Work Orders

Within the Maintenance Hub

Navigate to the Maintenance Hub: Dashboard > Property Management > Maintenance

  1. Within the Maintenance Hub select the Work Order tab.
  2. Select the WOs you wish to allocate by checking the boxes next to each order.
  3. Click on the Assign to Supplier button.
  4. Before choosing a Supplier to assign WOs to, you can also create a new work order to add by selecting Add More Work Orders button.
  5. Review the list of WOs to be allocated by selecting Preview Work Order to view a combined pdf.
  6. Select a Supplier by searching within the Select a Supplier search bar.
  7. Select Save to assign your chosen WOs & assign the work.

Within the Compliance Hub

Navigate to the Compliance Hub: Dashboard > Property Management > Compliance.

  1. Select the Compliance records you wish to create WOs against by ticking the checkbox & choosing Create and Send Work Orders.
  2. Add additional Compliance Items by choosing the Add More Compliances button.
  3. Before choosing a Supplier to assign newly created WOs to, you can also create a new work order to add by selecting Add More Work Orders button.
