Overview
We're excited to introduce our new and improved bulk expense invoice processing feature, designed to streamline your expense management workflow with new capabilities. This enhanced system replaces our previous bulk processing flow and provides significant improvements in functionality, flexibility, and accounting integrations support.
What's New
- Multiple Line Items per Invoice: Previously, each invoice was processed as a single line item. Now you can add multiple line items to your expense invoices to support all expenses.
- Multi-Company Processing: The new system allows you to drop invoices across companies and assign them individually to the relevant company.

Enhanced Accounting Integration support: For customers with connected accounting providers, we now offer all line item tracking capabilities in the new flow
Note: The tracking for line items depends on your accounting provider's supported features.

Quick start
Access the new page by clicking the Accounting menu → Process Expense Invoices
Upload Your Invoices
- Click Process Invoices (or Process with Credia if you have Credia Plus)
- Drag & drop files or use file selector
- Click Continue
Re-Leased will automatically identify duplicate invocies if they have been imported and created previously. A message will advise that file has not been imported.
Complete Invoice Details
- Review the invoice preview on the left
- Credia extract will automatically populate all the found fields on the invoice
- The same capabilities for BPAY, Account and Tax selection available from the Create an expense invoice page are supported here.
- Fill in required fields on the right
- Click Submit for approval, Save as draft or Cancel
Process Additional Invoices
Continue through the remaining invoices, and you will see the number of remaining invoices at the bottom. Use 'Skip' to return to an invoice later.
What's on the process expense invoices page
Invoice Tables
- Pending Invoices: Uploaded files awaiting processing or completion.
- Processed Invoices: Completed invoices that have been submitted or approved.
Status Indicators
For pending files:
- Pending: File has been uploaded but still needs to be processed
- Ready for review (Credia Plus only): Credia extracted but needs verification
- Failed: Something went wrong while extracting file details
For Processed invoices, the invoice status will be displayed.
Creating a new Creditor (Supplier)
If the invoice is for a new Creditor (Supplier), you can create a creditor contact directly from the invoice screen:
- Open the 'From' dropdown field
- Click '+ Add new creditor'
- Type the creditor name and Save
Submit expense invoices for approval in bulk
From here you can continue to process the invoice. Or you can choose to process invoices directly from the Process Expense Invoices table
- Go to the Processed tab
- Select desired invoices using checkboxes
- Click Bulk actions and choose Submit for approval
On-charging invoices
When can you on-charge invoices:
If an expense invoice has line items allocated to an on-charge account, or is related to a tenancy, you will have the option to create the on-charge invoices from this flow.
How to on-charge invoices
While processing an invoice:
If an invoice can be on-charged, the system prompts for on-charge creation when submitting for approval or approving an invoice. You will be able to on-charge after processing all invoices as well.
After processing invoices:
- Find eligible invoices in the Processed tab
- Click Create invoices link in the On-Charge column
- Confirm creation in the modal dialog
Related to
