Control rent-free periods without manual edits

Rent-free periods often break billing plans and create extra work. Set them once at the tenancy level and let the system carry them across billing cycles, breaks, and renewals. You will see the impact on the billing timeline and invoices right away.

Open Rent & Outgoings

  1. Open the tenancy and go to the Rent & Outgoings section.
  2. Select the Rent-Free Periods tab to view, add, or manage rent-free periods.

Select calculation basis

Use Calculation Options to set how the system calculates rent and timelines during rent-free periods.

  • Original Lease Term — use the full initial term.
  • Right of Renewal — include any optional extensions.
  • Lease Break — calculate to the break date.
  1. Click Calculation Options.
  2. Select the option you want to apply.
  3. Wait for the billing timeline to refresh with the new view.

Add and edit rent-free periods with confidence

Add rent-free periods that span one or many billing cycles, and edit them as terms change. The system updates billing and timelines for you.

Add a rent-free period

  1. Click Add Rent-Free Period.
  2. Enter the Start and End dates.
  3. (Optional) Add a description for internal tracking.
  4. Create periods that span multiple billing cycles when needed.

Edit or delete a rent-free period

  1. Click Edit to change dates or details.
  2. Click Delete to remove a period.
  3. Review the billing timeline; it updates automatically after changes.

Note: The Tenancy Summary shows a smoothed monthly rent that factors in rent-free periods. This view gives you a consistent revenue picture across the term.

Read the billing timeline and statuses at a glance

The Billing Timeline shows rent across the current term and applies rent-free adjustments. Use it to see charges, dates, and status in one place.

Each billing cycle displays:

  • Rent Amount
  • Billing Dates
  • Status:
    • Paid — invoice has been settled
    • Unpaid — invoice is outstanding
    • Upcoming — next scheduled rent charge
    • Pending Review — future rent awaiting change due to a rent review

Note: The billing timeline mirrors the frequency and date ranges set in your Rent Template.

Avoid scenarios that block rent-free periods

Some situations prevent you from creating rent-free periods. Check these before you start to save time.

  • Do not create a rent-free period for a cycle that is already Paid or Unpaid.
  • Do not create a rent-free period when the tenancy has been billed outside of Re-Leased, such as during onboarding.

Important: If a period is locked by billing history, update or reconcile those invoices first, then set the rent-free period.

Generate invoices that reflect rent-free dates

After you set a rent-free period, create a one-off invoice that matches those dates. This keeps documents and timelines in sync.

Create a one-off invoice

  1. Open the Summary tab.
  2. Click Create One-Off Invoice.
  3. Enter the From and To dates, and make sure they align with the rent-free period.
