This article will guide you through switching your Re-Leased company from one accounting system to another (e.g., Xero to Sage Intacct), or connecting to a new company within the same accounting system (e.g., Xero Company A to Xero Company B). This process ensures continued accuracy in your financial integration while avoiding duplicate data.
When to Use This Process
You should use this process when:
- You are switching from one accounting system to another (e.g., Xero to Sage Intacct).
- You want to connect to a different company within the same accounting system (e.g., Xero Company A to Xero Company B).
Important: If you've connected to the wrong company and no transactions have been synced yet, you can use this process to reconnect to the correct company. However, if transactions have already synced, contact our Support team to discuss the best approach, as some data may need to be corrected or deleted.
What You Need to Know Before Starting
Before proceeding, ensure you read and understand the implications of the switch process:
- The switch removes all links between your Re-Leased transactions and the current accounting provider while retaining your data in both systems.
- Following the switch, all transactions dated after the new Sync From Date will be treated as new records.
- You must carefully configure your Chart of Accounts, tax codes, contacts, and tracking categories during the setup to ensure seamless integration.
- Some transactions may appear as "unlinked" in your Sync Results page. These can be manually reviewed and relinked if necessary.
Preparation Checklist:
-
Contact the Support team to coordinate the switch process.
- NOTE: Ideally, we need 2-3 business days' notice before your desired switch-over date
- Back up any necessary reports or data from your current system.
- Allocate sufficient time to complete the setup and matching process.
- Select a Sync From Date that minimizes the risk of duplicate data.
Step-by-Step Process
Step 1: Disconnect Your Current Provider
To start, you'll need to disconnect your current accounting provider:
- Navigate to Settings > Manage Add-ons and Integrations.
- Find your current accounting integration and click View Details.
- Under Advanced, click Disconnect.
This ensures your current provider is properly de-authorized from Re-Leased.
Step 2: Contact Support
Contact our Support team to enable the provider switch process. We'll prepare your Re-Leased account for the transition and provide further guidance as needed.
Step 3: Connect to Your New Provider
After Support has completed the necessary preparations:
- Go to Settings > Manage Add-ons and Integrations.
- Follow the steps to connect to your new accounting provider.
Note: During the connection process:
- The "ignore historical transactions" option will be enabled automatically to prevent duplicate entries.
- Set your Sync From Date to a recent date to control what data syncs to the new provider.
Step 4: Match Your Accounting Data
Carefully match the following during setup:
- Chart of Accounts: Ensure GL accounts align across systems.
- Tax Codes: Verify tax rates match between providers.
- Contacts: Match each customer and vendor to avoid duplicates.
- Tracking Categories: Ensure dimensions or categories are set up correctly.
Important: Errors in matching can cause significant data issues. If unsure, contact Support for assistance.
Step 5: Review Unlinked Transactions
After your first sync, some transactions may appear as "unlinked" in your Sync Results page. These transactions are dated between your Sync From Date and the switch date. This safeguard prevents duplication.
You can either:
- Relink transactions individually if they need to sync.
- Leave them unlinked if they don't need to sync.
Step 6: Perform Your First Sync
- Complete your first sync using your new provider.
- Review any sync errors on the Sync Results page.
- Address errors as necessary or contact Support for assistance.
Special Considerations
Switching Between Companies in the Same Provider
If you're switching between companies within the same provider (e.g., Xero to another Xero company), proceed with caution:
- Ensure careful data matching to avoid duplicates.
- This process does not apply when reconnecting to the same company you were using previously.
Switching to Sage Intacct
When transitioning to Sage Intacct, additional setup is required:
- Archive existing tracking categories, as Intacct uses dimension tracking.
- Reconfigure property fields and rent templates with Intacct's tracking dimensions.
- Update pre-existing invoices with the correct dimensions for syncing.
Limitations
- Paid invoices: Editing paid invoices during a switch requires reversing payments first.
- Advanced features: Some advanced features, such as Revenue Recognition, may not be supported during the switch process.
