Guide to Credia Lease Extraction

Credia Lease Extraction requires Credia Plus Subscription. This feature is currently in beta. To enable it, select 'Lease Extraction' from the 'Available betas' page in your settings. If you don't see this option, contact support@re-leased.com or your Re-Leased Commercial Manager for assistance.

What is Credia Lease Extraction

Credia Lease Extraction automatically reads your lease documents and populates the lease information for you. Upload your lease and any additional documents (PDF), and Credia extracts tenant names, rent amounts, dates, and other details. All you need to do is review the extracted data, make any necessary adjustments, and save.

It's a fantastic tool for property managers to reduce manual data entry and speed up the lease creation process.

How to Credia Lease Extraction

1. Upload your documents

  1. Navigate to the Tenancies page under Property Management in the main navigation

  2. Click Create with Credia

  3. Select your company from the dropdown menu

  4. Upload your lease and any additional documents by dragging them in or clicking to browse (PDF format)

  5. Click Process with Credia to start

     

After submitting, you will see a notification: "Queued for processing and review". You can click on the notification to be redirected to the review page where you can monitor progress

 

 

Important: Only upload documents for a single lease. Credia cannot create multiple tenancies from one upload, but we're working on adding this capability.
 

2. Wait for processing


The Pending Tab

All documents currently being processed appear in the Pending tab. Here's what each status means:

  • Pending: Document is queued and awaiting extraction

  • Ready for review: Extraction complete, ready for your review

  • Draft: You have started editing the extracted information

  • Failed: Encountered an error (click retry to try again)

Processing takes 1-5 minutes, depending on document size and complexity.

Available actions:

  • Click any row to open the side-by-side in a new tab

  • Delete unwanted files

  • Filter by:

    • Company

    • Status

    • Uploaded by

The Processed Tab

Once you have successfully created a lease, it moves to the Processed tab, where you can view all Credia created leases.

Filter options:

  • Company

  • Processed by

3. Review extracted information

Once processing is complete, click on any row in the Pending tab with Ready for review. This opens a new tab with:

  • Left side: Your uploaded document(s)

  • Right side: The lease form with extracted data

Fields marked with a Credia icon were automatically extracted from your document.

4. Make corrections

  • Click any field to modify it (the Credia icon will disappear once you edit)

  • Add any missing information that wasn’t automatically extracted

  • Always review fields with icons to ensure accuracy

Paragraph References:

  • Click fields with Credia icons to see where in your document the information was extracted from

  • View highlighted text in the document preview

  • Navigate between multiple references using View Next Reference

5. Save your lease

Choose to either save the lease or save it as a draft to complete later. If there are validation errors, fix them and try again. Once saved, you can view the new lease or create another one.

Note: Some details (like tenancy inspections) aren't yet available on the Credia leases page and will need to be added by editing the tenancy afterward. We're actively working to add more tenancy details.


What gets extracted vs. what do I need to fill in?

Extracted automatically:

  • Tenant name, property name, areas

  • Industry type

  • Contact names and emails

  • Rent amounts, payment frequency

  • Term dates and length

  • Renewal information

  • Individual rent review dates and types

  • Penalty interest rates, outgoings percentages

You need to complete:

  • Lease type, rent type, review type selections

  • Contact matching or creation

  • Rent line item accounting setup

  • Payment dates and billing cycle settings

  • Workflow settings (delegates, reminders)


Best practices

  • Use high-quality scans or PDFs for best results

  • Review everything before saving, especially fields with Credia icons

  • Keep originals handy while reviewing

  • Fix errors as you go as you review each section

  • Verify calculations make sense, check that rent amounts and dates are logical

  • Upload all relevant pages, including addendums and amendments

  • Check property and contact matches to verify the system found the correct records

  • Set up rent line items properly for accurate invoicing
