Setting Up Automated Arrears Notices

How to set up automated arrears notices in Re-Leased — configure automation on an arrears rule, select what to include, exclude specific arrears statuses, and understand how the daily automation run works.

Automated Arrears lets Re-Leased automatically send arrears correspondence to tenants when invoices become overdue — eliminating manual intervention. The system runs daily at 3pm (your company's local time) and actions any matching notices based on your configured rules.


Understanding Automated Arrears

When enabled, Re-Leased automatically processes actionable arrears notices — including emails and SMS — that meet your rule criteria. The automation applies the same logic as manually clicking Complete in the Arrears Hub, so behaviour is consistent across manual and automated workflows.


Enabling Automation on an Arrears Rule

  1. Navigate to Settings and select Arrears Rules (under Communications).

  2. Choose an existing rule to edit, or create a new arrears rule.

  3. Ensure the Rule is Default for company checkbox is checked — automation options are only available for default rules.

  4. Check the Automate Rule Action checkbox to enable automation.


Selecting What to Include

  1. With Automate Rule Action enabled, check Include Invoices to include unpaid invoices in automated processing.

  2. Check Include Credits to include credit notes in automated arrears calculations.

  3. Click Save to apply your settings.

Note: If you uncheck Rule is Default for company when saving, all three automation checkboxes (Automate Rule Action, Include Invoices, Include Credits) will automatically be reset to false.


Excluding Arrears Statuses from Automation

You can prevent automated correspondence from being sent to tenancies with specific arrears statuses — for example, tenancies in legal proceedings, active payment plans, or bankruptcy.

  1. With Automate Rule Action enabled, locate the Exclude Arrears Statuses dropdown.

  2. Select one or more statuses to exclude from automated actions.

  3. Click Save.

Note: If a tenancy has multiple arrears entries and any match an excluded status, the entire tenancy is excluded from automation. Excluded tenancies still appear in the Arrears Hub — exclusion only prevents automated correspondence. Exclusions are preserved even if you temporarily disable automation.


How Automated Arrears Runs

  1. Every day at 3pm (company local time), Re-Leased checks the Actionable tab of the Arrears Hub.

  2. Any arrears based on a default rule with Automate Rule Action enabled are automatically processed.

  3. Notices are sent via the same logic as the manual Complete action.

  4. Delivery method is determined by the Tenancy notices setting on each tenant's contact record — checked means email; unchecked means available for download.

Troubleshooting Email Delivery Issues

If your automated arrears emails are not sending, even though the arrears rule is set up correctly, check the following:

  1. Recipient Settings:

    • Ensure that the intended recipients have the appropriate settings enabled in their contact profiles.

    • Specifically, verify that the "Tenancy notices" option is ticked for each recipient.

  2. Steps to Update Recipient Settings:

    • Open the contact profile of the intended recipient.

    • Locate the notification settings.

    • Tick the "Tenancy notices" option to enable email delivery. Without this setting enabled, arrears notices will not be emailed to the recipient.

Note: Only rules set as the default company rule can be automated. If you have multiple arrears rules, ensure the correct one is set as default before enabling automation. The system can also send arrears notices to archived tenancies if they meet the rule criteria.

Configuring Automated Arrears Notifications

To set the email address that automated arrears notices are sent from, follow these steps:

  1. Assign the Property Manager's Email Address:

    • Automated arrears notices are sent from the email address of the Property Manager assigned to each property.

    • To change the "from" address, update the email address of the assigned Property Manager.

  2. Steps to Update the Email Address:

    • Navigate to the user settings in Re-Leased.

    • Open the profile of the relevant user.

    • Update the email address to the one you want notices to be sent from.

    • Ensure this user is assigned as the Property Manager for the relevant properties.

  3. Using a Shared Email Address:

    • If you want notices to come from a shared email address, create a user in Re-Leased with that shared email.

    • Assign this user as the Property Manager for the relevant properties. Note: There is no global setting to specify a "send from" email address for arrears notices; it is controlled per property via the assigned Property Manager’s email address.
