Handling Overpayments and Prepayments from Xero

How to handle Xero overpayments and prepayments in Re-Leased — pull transactions created from January 2022, include older ones by re-saving in Xero, identify OP and PP icons, and view them across Income and Expenses, arrears, and property screens.

Re-Leased can pull Overpayments and Prepayments from Xero for transactions created on or after 1 January 2022. These are displayed in Re-Leased with OP and PP labels respectively.

Note: All edits and allocations to these transactions must be made in Xero. Ensure tracking categories are configured in Re-Leased to map them to the correct property or tenancy.



Including Transactions Before January 2022

To pull in overpayments or prepayments dated before January 2022:

  1. In Xero, open the relevant transaction.

  2. Edit and save it to refresh the last edited date.

The transaction will be included in the next invoice sync from Xero to Re-Leased.



Contacts Linked to Multiple Tenancies

If a Xero contact is linked to multiple tenancies within a property, overpayments or prepayments may not map accurately to a specific tenancy in Re-Leased. Verify transaction allocations carefully in these cases.



Identifying Overpayments and Prepayments

  • Overpayments display a yellow OP icon next to the transaction number.

  • Prepayments display a yellow PP icon next to the transaction number.



Where to View Them in Re-Leased

  • Income & Expenses — select the Credits filter.

  • Property > Invoices & Credits — requires Xero tracking categories to be set up.

  • Tenancy > Invoices & Credits — requires tracking categories and the contact must not be linked to multiple tenancies within the property.

  • Arrears Hub — appears in relevant arrears correspondence.

  • Tenancy History, Tenancy Arrears, and Aged Arrears Reports.

  • Property Management and Landlord mobile apps.
