Setting Up Tracking Categories with Xero

How to set up tracking categories with Xero in Re-Leased — create categories in Xero, import them, configure property tracking defaults, set property matching, and optionally disable auto-matching.

Re-Leased supports Xero tracking categories, letting you tag property-related transactions for enhanced reporting. This guide covers creating tracking categories in Xero, importing them into Re-Leased, configuring property tracking defaults, and setting up property matching.


Step 1 — Create Tracking Categories in Xero

  1. In Xero, go to Accounting > Advanced > Tracking categories.

  2. Create a tracking category and name it (e.g. Property).

  3. Add category options that correspond to each property in Re-Leased.

Note: Xero supports up to two active tracking categories. Both are available as property tracking defaults in Re-Leased.

Step 2 — Import Tracking Categories into Re-Leased

  1. In Re-Leased, click the Sync icon in the secondary navigation bar, then click Start Sync.

  2. Confirm the import under Settings > General > Tracking.

Tracking categories are managed in Xero — the list in Re-Leased is not editable. Any changes to category names or options must be made in Xero and then synced.


Step 3 — Configure Property Tracking Defaults

  1. Go to the property you want to configure.

  2. Click Property Tracking in the left sidebar.

  3. For each tracking category, click the dropdown and select the appropriate option for this property.

  4. Click Save.

These defaults automatically apply to rent invoices, repeating invoices, outgoings, instalment invoices, budget-related invoices, late fee invoices, and management fee invoices generated from the property.


Step 4 — Set Property Matching

One tracking category must be designated as the "property matching" category. This syncs with the Related Property field on invoices and allows invoices created in Xero to automatically link to the correct property in Re-Leased.

  1. On the Property Tracking page, click Set as Property Matching next to the tracking category that represents your property structure.

  2. A Property Matching badge will appear on the selected category.

Note: Only one tracking category can be set as property matching. To change it, click Stop Property Tracking on the current one, then set a different category.

Disable Property Auto-Matching

By default, Re-Leased automatically sets the Related Property field on invoices based on tracking options. To disable this and select properties manually:

  1. Go to Settings > Manage Add-ons and Integrations.

  2. Click View Details on the Xero tile.

  3. Select the Settings tab and enable the Disable property auto-matching toggle.

Troubleshooting

  • Ensure tracking categories exist in Xero before attempting to use them in Re-Leased.

  • Run a sync to pull the latest tracking categories.

  • Verify tracking defaults are saved on the property in Property Tracking.

  • Confirm a property matching category is set if invoices from Xero are not linking to the correct property.

  • If the property field cannot be edited on invoices, check whether Disable property auto-matching is enabled.
