How to Connect Xero to Re-Leased

How to connect Xero to Re-Leased — prerequisites, step-by-step connection guide, completing the reconciliation steps for tax types, accounts, tracking, and contacts, and post-connection tracking setup.

This guide walks you through connecting Re-Leased to Xero. Before starting, ensure the following are ready in your Xero account: Tax Types, Chart of Accounts, a tracking category named Property (with each property listed as an option), and invoice branding settings.

⚠️ Before you start: talk to us first

Connecting Xero is a one-way action. If you connect the wrong Xero organisation to a Re-Leased company, you can't undo it yourself — you'll need to contact Re-Leased Support to disconnect it before you can try again.

If this is your first Xero connection, contact your Implementation Consultant or Re-Leased Support and we'll walk you through it. It takes a few minutes and saves days of cleanup.

Note: If you currently issue rent invoices in Xero, cancel those recurring invoices before connecting — Re-Leased will take over the invoicing process.


What you need in place

Before you begin, make sure the following are ready.

In Xero:

  • Tax Types set up and matching how you invoice

  • Chart of Accounts finalised

  • A tracking category named Property, with each of your properties listed as an option

  • Invoice branding configured

In Re-Leased:

  • The exact name of the Xero organisation that belongs to this Re-Leased company. Make a note of it before you start. Xero will show you every organisation you have access to, and if you manage several entities the names are often similar. This one check prevents the most common and most costly mistake in this process.

If you currently issue rent invoices in Xero: cancel those recurring invoices before connecting. Re-Leased takes over invoicing once the connection is live, and leaving them active will double-invoice your tenants.


Step 1 — Open your integration settings

  1. Go to Settings in Re-Leased.

  2. Select the company you want to sync from the dropdown. Note which company this is — you'll need to match it in the next step.

  3. Scroll down and select Manage Integrations & Add-ons.


Step 2 — Connect to Xero

  1. Click Connect on the Xero status tile.

  2. Review the sync details, then click Connect to Xero.

  3. Enter your Xero login credentials.

  4. Select the Xero organisation to integrate, then grant access. Check this carefully before you click. Select the Xero organisation that matches the Re-Leased company you chose in Step 1. Xero lists every organisation your login can reach, including those belonging to other entities you manage. If you select the wrong one, Re-Leased starts syncing invoices, contacts and account codes between two unrelated businesses, and only Re-Leased Support can disconnect it.

  5. Choose your Sync from Date. Transactions dated before 2018 won't sync, and changes you make to pre-sync invoices won't carry across after the initial integration. Choose this date deliberately — you can't change it later.


Step 3 — Complete the reconciliation steps

Work through each reconciliation in order. Each one maps something in Re-Leased to its equivalent in Xero, so take your time.

  1. Tax Type Reconciliation — match your Re-Leased tax types to the equivalent Xero tax types.

  2. Account Reconciliation — reconcile your chart of accounts.

  3. Tracking Reconciliation — match or archive your tracking options.

  4. Contacts Reconciliation — reconcile all contacts.

This is your last opportunity to spot a mismatch. If the account codes, contacts or tracking options in front of you don't look like the ones you'd expect for this business, stop and contact Re-Leased Support before continuing — you may be connected to the wrong Xero organisation.

Once all four reconciliations are complete, click Confirm to start the first sync. You can keep working in Re-Leased while the initial sync runs in the background. A blue flag in the header tells you when it's finished.


Step 4 — Link your tracking categories

Once the connection is live, link your tracking category so property-level reporting works correctly in Xero.

  2. Repeat for every company you're integrating with Xero.


If you've connected the wrong Xero organisation

Stop working in Re-Leased and contact Re-Leased Support immediately. Don't attempt to fix it by editing records in either system.

We'll disconnect the integration so you can reconnect to the correct organisation. The sooner you tell us, the less synced data there is to unwind — a connection caught within minutes is straightforward, one caught after a week of invoicing is not.

When you contact us, tell us:

  • The Re-Leased company name

  • The Xero organisation you connected by mistake

  • The Xero organisation you meant to connect

  • Roughly when the connection was made


Connecting additional companies

Repeat this process for each Re-Leased company you want to sync. Each Re-Leased company connects to exactly one Xero organisation, and each Xero organisation connects to exactly one Re-Leased company.

Because the risk of mismatching grows with every entity you add, we recommend involving Re-Leased Support for each connection if you manage a large portfolio of entities.
