This fact sheet explains how the QuickBooks Online integration works in Re-Leased — covering sync frequency, data flow, common issues, and how to resolve them.

Sync Frequency

The QuickBooks Online API sends updates to Re-Leased once per hour during business hours, and once overnight. Re-Leased sends updates to QuickBooks Online at the same frequency. You can also trigger a manual sync from Settings > Manage Integrations & Add-ons at any time.

Tax Types

QuickBooks Online controls all available tax types.

If data is entered in Re-Leased before connecting to QuickBooks Online, placeholder tax types are loaded. If those placeholders are archived at connection time, invoices revert to draft status.

Edit the draft invoices and select the correct tax type. Update the tenant rent template to use the correct tax type going forward.

Chart of Accounts

QuickBooks Online controls all available chart of accounts.

Similar to tax types, placeholder COAs are loaded before connection. If archived at connection, invoices revert to draft.

Edit draft invoices and select the correct COA. Update the rent template to use the correct COA going forward.

Tracking

Re-Leased uses QuickBooks Online Classes for property tracking. Class names should match property names in Re-Leased on a 1:1 basis. Invoice transactions with a class selected link to the corresponding property in Re-Leased — used for actuals and budget wash-ups.

Tracking must be connected after QuickBooks Online is linked. In each property, go to Property Details and select the matching tracking category. Classes are only available on QuickBooks Online Plus and Advanced plans.

In QuickBooks Online: Account & Settings > Advanced > Categories — enable Track classes and set it to one to each row in transaction. When adding new properties, add a matching class in QuickBooks Online.

Contacts

Contact lists are shared between Re-Leased and QuickBooks Online. Changes in either system update the other. Non-Creditor contacts sync as Customers; Creditor contacts sync as Vendors/Suppliers.

Duplicate contacts can be created at connection if records don't match exactly. Once a contact syncs as Customer or Vendor, its type cannot be changed in Re-Leased. If the invoice contact for a tenancy is archived, the Re-Leased user receives an error by email.

Rename contacts in QuickBooks Online and update the tenancy file to connect to the correct contact. To change a contact type, export from QuickBooks Online, bulk archive, and re-import as the correct type. Update the tenancy file to the current active contact.

Invoices

All invoice transactions are shared two-way. Invoices entered in QuickBooks Online with a class link to the related property in Re-Leased. The tenancy file automatically generates rent and outgoings invoices when due. All tenant income must be entered in Re-Leased to connect correctly to the tenancy record.

Income invoices created in QuickBooks Online only link to the contact in Re-Leased — not the tenancy record. Repeating income invoices in QuickBooks Online should be stopped before Re-Leased billing begins. Invoice date conflicts occur if time zones differ between systems.

If no payment has been applied, edit the invoice in Re-Leased to select a related tenancy. Invoices raised in QuickBooks Online cannot be linked to a rental period for reporting. Ensure QuickBooks Online time zone matches Re-Leased — contact support if needed.

Expense transactions (cash coded)

Expense transactions cash-coded off the bank statement in QuickBooks Online sync into Re-Leased. Income transactions cash-coded in QuickBooks Online do not sync.

Cash-coded income is missing from Profit and Loss and Budget vs Actuals reports in Re-Leased.

Use the QuickBooks Online Profit and Loss as a cross-check when performing budget wash-ups. For best reporting results, use Bills for all outgoings-related expenditure.

Invoice Numbering

Re-Leased uses QuickBooks Online invoice numbering once connected.

If custom transaction numbers are turned on in QuickBooks Online, invoices from Re-Leased won't receive a QuickBooks Online number unless manually entered.

Turn custom transaction numbers OFF in QuickBooks Online: Account & Settings > Sales.

Credit Notes

Credit notes are shared two-way. Credit notes for tenant income should be raised in Re-Leased.
