Setting Up Re-Leased and QuickBooks Online Integration

How to set up and connect Re-Leased to QuickBooks Online — configure QuickBooks settings, create Classes and Products and Services, establish the 1:1 connection, and complete the onboarding matching process.

Before connecting Re-Leased to QuickBooks Online, a few settings must be configured in QuickBooks to prevent sync conflicts and ensure invoices, tracking, and data match correctly across both platforms.


Step 1 — Configure QuickBooks Online Sales Settings

  1. In QuickBooks Online, go to Settings Cog > Accounts & Settings (under Your Company).

  2. Open Sales and turn Custom transaction numbers OFF.

  3. Click Save.

Step 2 — Configure QuickBooks Online Advanced Settings

  1. Open Advanced.

  2. Turn Automatically apply credits OFF.

  3. Turn Automatically invoice unbilled activity OFF.

  4. Turn Automatically apply bill payments OFF.

  5. Click Save.

Note: Disabling these settings prevents numbering conflicts and unwanted auto-allocations during sync.


Step 3 — Verify Required Lists and Features

  • Confirm Tax Types exist.

  • Confirm your Chart of Accounts (CoA) is set up.

  • Confirm Products and Services are defined (see below).

  • Enable Classes at the line item level for property tracking (QuickBooks Online Plus & Advanced plans only).

If you currently invoice rent in QuickBooks Online, cancel any repeating invoices before connecting — Re-Leased will hold all income going forward.



Step 4 — Create Property Classes in QuickBooks Online

Classes in QuickBooks Online mirror tracking categories in Re-Leased. Create a parent class (e.g. "Property") and a sub-class for each property.

  1. Go to Settings Cog > All Lists > Classes > New.

After connecting, open each property's Property Details page in Re-Leased and link the matching Class.


Step 5 — Set Up Products and Services

QuickBooks Online invoices use Items from the Products and Services list — not direct CoA lines. Create service Items for rent, outgoings, and other charges, each linked to the correct CoA account.

  1. Go to Sales > Products and Services > New > Service.

  • Income Items (linked to Revenue accounts) — use on Income Invoices and Credit Notes.

  • Expense Items (linked to Expense accounts) — use on Expense Invoices and Credit Notes.

  • Dual Items (linked to both) — use on all Invoices and Credit Notes.

Note: Always use an Item on income invoices — do not post directly to a CoA line. When matching during onboarding, match any Re-Leased rent CoA to a QuickBooks Online Sales Item (shown with an "S" prefix), not a CoA entry.


Step 6 — Connect Re-Leased to QuickBooks Online

  1. In Re-Leased, go to Settings > Manage Add-ons and Integrations > Connect to QuickBooks.

  2. Sign in to QuickBooks Online when prompted.

  3. Select the QuickBooks Online company to sync, click Next, then Connect.

  4. You return to Re-Leased to complete setup.

Note: The connection is a strict 1:1 link between a Re-Leased company and a QuickBooks Online company. It cannot be reconfigured with different companies later — ensure you select the correct company before confirming.


Step 7 — Onboarding and Matching

  1. Set a Sync From Date, then click Continue.

  2. Match Tax Types, Chart of Accounts, tracking options, and contacts. Archive any records with no data. When matching Re-Leased rent CoA, select the QuickBooks Online Sales Item (with "S" prefix).

  3. Click Continue through each step, then Confirm to run the first sync.


In Asia-Pacific/Europe, "Outgoings" is used; North American teams call them "Operating Expenses". Credit Notes are called "Credit Memos" in North America. For more information on regional terminology, see our Glossary of Regional Terminology.
