Managing Quote Requests

How to manage quote requests for maintenance tasks in Re-Leased — set up a quote request template, send quote enquiries to contractors, review responses in the Maintenance Hub, and accept a quote to begin the work order workflow.

Quote Requests let you send maintenance quote enquiries to multiple contractors via email and manage their responses in the Maintenance Hub.


Setting Up a Quote Request Template

  1. Navigate to Settings > Communications > Templates.

  2. Click Create Correspondence Template and select Template Type: Quote Request.

  3. Edit the subject line and email content. Include merge fields using the +subject and +body options.

  4. Do not remove the ####{{ Link }} merge field — this gives each contractor a unique link to submit their quote.

  5. Preview and save the template.


Sending a Quote Request

Navigate to the relevant Maintenance Task. Click the Contextual Menu [...] and select Add Quote Request, or scroll to the Quotes section and click Create Quote.

On the quote request email page:

  1. Add recipients in the To field or use Filter Contacts.

  2. Choose your quote request template.

  3. Confirm the ####{{ Link }} merge field is in the email body.

  4. Send — each contractor receives a separate email without seeing other recipients.


Assessing Quote Responses

  1. In the Maintenance Hub > Quotes tab, find the quote and click View.

  2. Alternatively, go to the associated Task and click on the Quote Request.

  3. Review the summary of requests and responses. Click View Details for more information on each.


Accepting a Quote

Once a contractor responds, the quote status changes to Responded. Click Accept Quote to proceed — this triggers the work order workflow. See Creating Work Orders for next steps.
