Property Groups

How to use Property Groups in Re-Leased — create groups for blocks and estates, set up a General Property for shared area maintenance and compliance, create notes, build group-level budgets, and run group-specific reports.

Updated over a week ago

Property Groups let you logically cluster related properties together — useful for retail complexes, office parks, block management, and mixed-use developments. They enable bulk maintenance and compliance actions, group-level budgets, and streamlined reporting.

Creating a Property Group

  1. Navigate to Property Management > Properties.

  2. Click New Property Group.

  3. Enter a name and select the relevant company.

  4. Decide whether to create a General Property — required if you want to create maintenance and compliance tasks for common areas.

  5. Assign properties to the group.

General Property

The General Property is the functional backbone of a group. While the group visually clusters properties together, the General Property enables maintenance tasks, compliance records, and budgets to be tied to the group. Name it the same as the Property Group for clarity.

Creating Maintenance Tasks for a Property Group

  1. Navigate to Property Management > Maintenance > Create Maintenance.

  2. Fill in Company, Title, and Maintenance Type.

  3. For Property, select Property Group to identify the relevant group.

  4. Click Create.

Creating Compliance Records for a Property Group

  1. Navigate to Property Management > Compliance > Create Property Compliance.

  2. For Property, select the Property Group.

  3. Fill in Compliance Type, Title, Assigned to, and required task or document upload.

  4. Click Save or Mark as Compliant.

Notes on Property Groups

  1. Navigate to Properties > Property Group and select the group.

  2. Click Create Note.

  3. Enter Subject, Date, Type, and Description.

  4. Click Save.

Budgets for Property Groups

Property Group budgets follow the same process as standard budget-by-area creation, with the addition of pooling areas across multiple properties within the group. Use these to apportion outgoings and expenses for common areas. See Creating a New Budget by Area for Property Groups.

Reporting on Property Groups

Use the Tenancy Schedule/Rent Roll and Invoice Details reports in Report Builder to view property group-specific data. Filter by Property Group after running the report:

  1. Open the report in Report Builder.

  2. Run the report, then click Filters.

  3. Select the Property Groups to include and click Apply filters and run.

Deleting a Property Group

  1. Navigate to Properties > Property Groups and select the group.

  2. Next to the General Property, click the three-dot menu and select Archive.

  3. Return to the Properties page.

  4. Next to the Property Group, click the three-dot menu and select Delete.
