Invoice Template Information

  • Tax Number — displays on invoice PDFs and emails.

  • Tax Number to Display on Invoices — choose the company tax number, the owner tax number, or both. Owner tax numbers are set on the owner contact.

  • Terms and Payment Advice — appears on invoice PDFs; can be overridden by a pre-defined invoice template.

When connected to an accounting provider, their template is used by default. Xero supports all four types (income invoices, expense invoices, income credit notes, expense credit notes). QBO supports income invoices and income credit notes. Sage Intacct supports income invoices only.

Rent & Outgoings Invoice Generation

Invoices can be generated on the due date or in advance (by days, weeks, months, or years). The advance setting also controls the issue date and default status (Awaiting Approval or Approved).

Note: These settings apply to new tenancies. Existing tenancy settings must be updated manually.

Budget Invoices & Service Date

  • Balancing Charge invoice status defaults to Approved but can be changed to Awaiting Approval.

  • Service Date — when enabled, allocates budget-related invoices and credit notes to a specific date for budget reporting.

Due Date Options for Manually Created Invoices

  • Current date — due on creation date (default).

  • Days from current date — e.g. 4 days: created 12 July → due 16 July.

  • Days after current month ends — e.g. 35 days: created in July → due 4 September.

  • Of the current month — e.g. day 25: created in July → due 25 July.

  • For the following month — e.g. day 20: created in July → due 20 August.
