Creating a New Owner Contact

How to create a new owner contact in Re-Leased — enter contact details, financial and accounting settings including bank accounts and equity codes, and configure statement format and delivery method for disbursements and reporting.

Owner contacts store the details used for disbursements, owner statements, reporting, and correspondence. Ensure all sections are completed accurately before assigning the owner to a property.

Contact Details

  1. Select Owner as the Contact Category to unlock owner-specific fields.

  2. Enter the owner's full contact information for use in reports and statements.

  3. Add the owner's mobile number if you use Re-Leased's text message functionality.

  4. Enter the owner's email address to enable electronic statements, work orders, and correspondence.

  5. Enter both Physical Address and Postal Address — use the Copy from buttons to duplicate where needed.


Financial and Accounting Settings

  1. Set the Payment Priority if you manage multiple properties for this owner.

  2. Select an expense code from the Chart of Accounts for expense invoices linked to this owner.

  3. Enter bank account details for disbursements. If there are multiple accounts, designate one as the default.

  4. Specify the payment particulars shown when disbursing funds to the owner.

  5. Select an Equity code from the Chart of Accounts for disbursing funds to the owner.

  6. Enter the owner's tax number (VAT or other). Enter 'N/A' if not applicable.

  7. Select the preferred default payment method — cheque or EFT. Bank details must be complete to enable EFT.



Communication and Reporting

  1. Choose the preferred Owner Statement format.

  2. Set the disbursement profile — configured in the Settings menu.

  3. Choose the delivery method: Post or Email. An email address is required for email delivery.

  4. Add additional contacts if extra copies of statements need to be sent.
