Multi-Company Contacts and Bulk Merging Contacts

How to link a contact to multiple companies in Re-Leased and consolidate duplicate contacts using Bulk Merge Contacts — covers eligibility rules, merge support by integration, and the merge steps.

Multi-Company Contacts lets you link a single contact record to multiple legal entities in Re-Leased, so you only need to maintain one record for contacts that appear across your portfolio. Bulk Merge Contacts lets you consolidate duplicate records across companies in a single action.


Adding a Contact to Multiple Companies

  1. Open the contact's record and navigate to the Companies tab.

  2. Click Edit.

  3. Select all the companies this contact should be associated with.

  4. Click Update.

The contact will appear in all selected companies. Updates to shared fields — name, email, phone — apply across all linked entities.

Note: If the contact already exists as duplicates in multiple companies, merge them first before assigning across companies.


Bulk Merging Contacts

The Bulk Merge Contacts tool consolidates duplicate contacts across multiple companies into one primary record.

Eligibility Requirements

The Merge Contacts option is only available when:

  • You have access to all companies associated with the selected contacts.

  • The accounting integration supports UI merging (see table below).

  • No completed tax returns exist for the contacts while tax returns are active.

  • At least one eligible primary contact can be chosen.

How to Bulk Merge Contacts

  1. Navigate to the Contacts list view and open the Merge Contacts page.

  1. Review the contacts listed. The contact category is auto-selected; ineligible companies are removed from the list.

  2. Tick a contact to reveal the Primary Contact option. Set the primary record — all others will be merged into it. Only one primary contact can be selected.

  3. Click Merge. The system runs pre-validation checks. If no valid merge is possible, an error will explain why — adjust your selection and retry.

  1. Review the confirmation preview showing the primary contact and which contacts will be archived, then confirm.

  2. The merge runs in the background. You'll see a success message once complete. All linked data remains with the primary contact.

Note for Xero users: After merging Xero contacts, verify the primary contact is correctly linked to the relevant tenancy in Re-Leased, and update any invoices previously associated with the archived contact.
