When an owner ledger is no longer active, archiving it removes it from the active view while retaining all historical data. You can restore an archived ledger at any time if needed.
Prerequisites for Archiving an Owner Ledger
Before archiving, ensure the ledger meets all of the following conditions:
Current balance is zero.
No uncleared funds in the account.
All fees have been paid — nothing outstanding.
No active invoices or credit notes associated with the ledger.
No ongoing rent collection for any active tenancies linked to the ledger.
Not currently tied to any property — detach the ledger from properties first.
How to Archive an Owner Ledger
Go to the Client/Trust Accounts section and select Owner Ledger Balance.
Use the Search ledgers field to find the ledger by name and click Go, or select it from the list.
Inside the ledger screen, click the ledger name and then click Edit Ledger.
Choose Archive. A confirmation screen will appear.
Generate any final financial reports from this ledger and save them before proceeding.
Click Archive This Ledger to confirm.
How to Restore an Archived Owner Ledger
Navigate to Client/Trust Accounts > Owner Ledger Balance.
Update the filter to show Archived ledgers only.
Use the Search ledgers bar to find the ledger and click Go, or select it from the list.
Select the ledger and click Restore Ledger.
Review the confirmation screen and click Restore This Ledger to finalise.
For Asia-Pacific customers, the term "Trust Account" is used. European customers refer to this as "Client Account". Client/Trust Accounting is not available to customers in North America. For more information on regional terminology, see our Glossary of Regional Terminology.
