Understanding the Owner Ledger Balances

How to navigate and understand the Owner Ledger Balance screen in Re-Leased — covers balance fields, filtering options, and viewing creditor amount breakdowns by expense invoice and credit note. APAC and EMEA only.

The Owner Ledger Balance screen in your Client/Trust Account gives you a real-time view of each owner's financial position — including available funds, withheld amounts, pending disbursements, and creditor balances.


Accessing the Owner Ledger Balance Screen

  1. From the Client/Trust Account home page, click Owner Ledger Balance.

  2. Use the filtering options to view archived ledgers, exclude ledgers with no balance, or show only ledgers with withholdings.

  3. If you have more than one Client/Trust Account, use the Switch Account toggle.

Understanding Ledger Summary Fields

  • Ledger Name — click to review transactions or modify ledger details.

  • Owner Name — click to access the owner's contact information.

  • Property Name — click to view the property.

  • Withheld — click the displayed amount to add or change withhold details.

  • Pending — payments that have been disbursed but are yet to be reconciled.

  • Current Balance — the ledger's total balance, including uncleared receipts.

  • Uncleared — the portion of the current balance representing funds not yet cleared.

  • Available — the ledger balance minus uncashed funds; click the magnifying glass icon for a detailed breakdown.

  • Creditor Current Balance — the total amount due for expenses or income credit notes still payable.

  • Fees Current Balance — the amount due for fees; visible by clicking on property or owner links, then selecting Fees.

  • Potential Disbursable Balance — the amount that could be paid to the owner if a disbursement were made immediately. A negative value typically indicates no payment is currently due.


Viewing Creditor Amount Breakdowns

Creditor amounts that have outstanding balances appear as clickable links in the Ledgers list. Click any creditor amount to open a detailed breakdown showing the ledger name, summary totals split between expense invoices and credit notes, and two tabs — Expense Invoices and Credit Notes.

Expense Invoices tab

Lists all unpaid or partially paid expense invoices contributing to the creditor amount. Each entry shows the due date, reference, creditor name, and outstanding amount. Click any reference number to navigate directly to that invoice.

Credit Notes tab

Shows all tenant credit notes reducing the creditor amount. Each entry displays the issue date, reference, contact name, and credit amount. Click any reference to open the credit note detail page.


For Asia-Pacific customers, the term "Trust Account" is used. European customers refer to this as "Client Account". Client/Trust Accounting is not available to customers in North America. For more information on regional terminology, see our Glossary of Regional Terminology.
