By default, Re-Leased syncs tracking categories (Location, Department, and Class) at the line-item level on invoices. With header-level tracking enabled, you can apply a single tracking value to the entire invoice header in NetSuite, keeping your financial records consistent and reducing manual data entry.
This guide walks you through enabling and configuring header-level tracking in both Re-Leased and Oracle NetSuite, and explains how the sync behaves once it's set up.
Overview
Header-level tracking allows tracking categories selected on invoice lines in Re-Leased to populate the header-level fields on the corresponding invoice in NetSuite. This is useful when your NetSuite workflows or reporting rely on tracking values being set at the top of the transaction rather than on individual lines.
When header-level tracking is enabled:
Tracking values from Re-Leased invoice lines sync to both the header and line levels in NetSuite.
Invoices created in NetSuite with header-level tracking sync those values to all lines in Re-Leased.
You choose which tracking entities (income invoices, expense invoices, etc.) use header-level tracking during configuration.
Requirements
To ensure header-level tracking works correctly between Oracle NetSuite and Re-Leased, the following conditions must be met:
Active NetSuite integration - Your Re-Leased company must already be connected to Oracle NetSuite.
NetSuite administrator access - You need administrator privileges in NetSuite to customise invoice forms and enable header-level fields.
Header fields enabled on NetSuite forms - The Location, Department, and/or Class fields must be visible at the header level on your NetSuite invoice forms. See the NetSuite configuration steps below.
Enable Header Level Tracking in Re-Leased
Navigate to Settings > Manage Add-ons and Integrations, or open the integration settings from the Accounting Integrations Overview page.
Open your NetSuite integration settings.
Enable the Header Level Tracking toggle.
Go to the Tracking menu in your integration settings.
Click the Sync Settings button.
Select the tracking options for each entity (income invoices, expense invoices, etc.) that you want to populate at the header level in NetSuite.
Click Save Changes.
You can also enable header-level tracking during the initial onboarding flow. If the toggle is enabled during onboarding, an additional step appears where you can select which entities should use header-level tracking.
Configure Header Level Fields in NetSuite
For header-level tracking to work, the relevant fields must be visible on your NetSuite invoice forms. Follow these steps for each transaction type that requires header-level tracking (for example, invoices, bills, or credit memos).
There may be other settings in NetSuite that need to be enabled for header-level tracking to function. Your NetSuite administrator or implementation partner can confirm whether any additional configuration is required for your environment.
Log in to NetSuite as an administrator.
Open the transaction form you want to configure. For invoices, navigate to Transactions > Sales > Create Invoice.
Click the Customize dropdown in the top-left corner, then select Customize Form.
Open the Screen Fields tab.
Select the Show checkbox for the tracking fields you need at the header level (Location, Department, and/or Class).
Click Save to save the form template.
Repeat these steps for any other transaction forms (such as bills or credit memos) where you need header-level tracking.
How It Works
Syncing from Re-Leased to NetSuite
When you apply tracking categories to invoice lines in Re-Leased and header-level tracking is enabled, the selected tracking values sync to both the header-level and line-level fields on the corresponding NetSuite invoice.
All lines on a Re-Leased invoice must share the same tracking value for each header-level enabled category. If different tracking options are set on individual lines for a category that uses header-level tracking, the sync will return an error advising you to update the lines so they match, then re-sync.
Syncing from NetSuite to Re-Leased
When an invoice is created in NetSuite with tracking values set at the header level, those values sync to all lines on the corresponding invoice in Re-Leased. If both header-level and line-level tracking values are present on a NetSuite invoice, the header-level values take priority, and the line-level values are ignored.
Limitations
Be aware of these limitations when using header-level tracking with Re-Leased and Oracle NetSuite:
Consistent line tracking required - All lines on a Re-Leased invoice must use the same tracking value for any header-level-enabled category. Mixed values across lines will cause a sync error.
Header values override line values (incoming) - When syncing invoices from NetSuite to Re-Leased, header-level tracking values override any line-level values set in NetSuite.
NetSuite form configuration required - Header-level fields must be manually enabled on each NetSuite transaction form. If the fields are not visible on the form, the tracking values will not appear at the header level.
Troubleshooting
Confirm the Header Level Tracking toggle is enabled in your Re-Leased integration settings.
Verify you have selected the correct entities (Location, Department, Class) in the Sync Settings for tracking.
Check that the relevant header-level fields are set to Show on your NetSuite invoice form under Customize Form > Screen Fields.
If you receive a sync error about mismatched tracking values, update all lines on the Re-Leased invoice to use the same tracking value for the affected category, then re-sync.
