Assigning maintenance to multiple people

Assign a maintenance task to as many people as you need. The Property Manager (and Facilities Manager, if set) are added automatically, and everyone controls their own email notifications.

You can now assign a maintenance task to as many people as you need, not just one. To save time, the Property Manager, and the Facilities Manager if the property has one, are added automatically as a starting point. From there you can add anyone else, remove people you don't need, and everyone still controls their own email notifications.

Who gets assigned by default

When a maintenance request comes in, the Assigned To list starts with the people already responsible for the property: the Property Manager (always) and the Facilities Manager (if the property has one). Both are set on the property's Property Details page, under Management. Not every business uses Facilities Managers. If your properties don't have one, only the Property Manager is added automatically.

When a maintenance request comes in

New requests appear under Maintenance → Requests, where the Property Manager and Facilities Manager are shown against each one. You can approve a request straight from this list using the Approve button.

Good to know: approving from this list uses the default assignment only, the Property Manager and the Facilities Manager. To assign other people (or remove someone) first, open the request, make your changes, then approve from inside it.

Choosing who's assigned

Open the request to review it. The Assigned To field is pre-filled with the default people, so no one is missed from the start.

Add other people

You're not limited to the default two. Open the dropdown and tick anyone else you'd like to assign. You can add as many people as the task needs.

Once you approve, the task is created with everyone you chose.

Remove someone

To take a person off the task, use the × next to their name.

Who gets emailed about it

Being assigned to a maintenance task doesn't automatically mean you'll be emailed about it. Each person's own notification settings take precedence, so even when several people are assigned, everyone still only receives the maintenance emails they've chosen to receive. This is useful when you're assigned for visibility but someone else is doing the work.

To manage your own, click your initials in the top-right corner and choose Account settings.

Under Notification Preferences, the Maintenance group lets you turn each email on or off. Untick anything you'd rather not be emailed about. Below, all of the maintenance emails have been turned off.

Tip: these preferences are per person, so everyone who can be assigned to maintenance sets their own. Remember to click Save User at the bottom of the page to keep your changes.
