Run the Trial Balance report

The Trial Balance shows the balance of every general ledger account for a company at a single point in time, split into debit and credit columns. Use it to verify that your books balance (total debits equal total credits) and to see the full picture of a company's financial position on any given date.

Before you begin

The Trial Balance is only available for companies with accrual accounting enabled. To open it:

  1. Go to ReportingGeneral Reports.

  2. In the Financial column, click Trial Balance.

Run the report

Set the filters at the top of the page:

  • Company — the company you're reporting on.

  • As at — the point-in-time date for the balance. Unlike the Profit & Loss and Journals Report, this is a single date rather than a range.

  • Compare to — an optional earlier period to compare against, so you can see the change between the two balances.

  • Owner and Property — optional filters to narrow the report to specific dimensions.

Click Filters to open the side panel for more options:

  • Tenancy and Ledger — filter by tenancy or ledger (for trust/client accounting companies).

  • Show zero balances — include accounts with a zero balance. Off by default, so accounts with no balance at the As at date are hidden.

Click Run to load the report with the selected filters.

Read the report

Accounts are grouped by type:

  • Assets — what the company owns (bank accounts, receivables, and so on)

  • Liabilities — what the company owes (payables, tax liabilities, tenancy funds held, and so on)

  • Equity — the owner's equity in the company

  • Revenue — income earned

  • Expenses — costs incurred

Each row within a section shows the account Code, Account Name, Debit, Credit, and Change (if comparing to another period). Assets and Expenses normally show a debit balance; Liabilities, Equity, and Revenue normally show a credit balance.

The Change column shows the difference between the As at date and the Compare to date, so you can see how each account has moved between the two dates.

Click any row to drill through to the Journals Report, pre-filtered to that account, so you can see the exact journals that make up the balance.

The TOTAL row at the bottom shows total debits and total credits. In a correctly-balanced set of books these two numbers will always match at the company level.

Download the report

Click Download at the top right to export the report as either an Excel spreadsheet or a PDF.
