Manage your chart of accounts

The Chart of Accounts (COA) is the list of general ledger accounts a company uses to record its financial activity — bank accounts, receivables and payables, revenue and expense categories, and so on. This article covers viewing the COA, drilling into a single account to see its transactions, and where to create, edit, or archive accounts.

Before you begin

This version of Chart of Accounts is only available for companies with accrual accounting enabled. To open it:

  1. Go to Settings from the main menu.

  2. Under Accounting, click Chart of Accounts.

View your chart of accounts

The Chart of Accounts page shows every account for the selected company. Use the controls above the list to narrow what's shown:

  • Search — free-text search on account code or name.

  • All types — filter by account type (Asset, Liability, Equity, Revenue, Expense).

  • Active and Archived tabs — switch between accounts currently in use and accounts you've archived.

Accounts are grouped by type in the list. Each row shows:

  • Code — the account's numeric or alphanumeric code.

  • Name — the account name. Accounts marked with a System badge are required for accrual accounting and can't be deleted.

  • Tags — any tags applied to the account.

  • Tax Type — the tax treatment applied when the account is used.

  • Budget Classification — how the account is grouped for budget reporting.

  • YTD Balance — the year-to-date balance for the account.

Drill into an account

Click any account name to open its detail page. This shows every transaction posted against the account across a chosen date range, with a running balance.

Use the date control at the top of the transactions list to change the range:

  • Choose a preset — This Month, Last Month, This Quarter, or This Year.

  • Choose Custom to enter a specific From and To date.

Each row shows the transaction Date, Description, Reference, Debit, Credit, and Running Balance. Click the Reference to open the source document (for example, an invoice or a payment).

A Balance Forward row at the bottom of the list shows the account's balance at the start of the selected date range, so you can see the opening position before the transactions in the current view.

The Current Balance shown next to the account name is the account's balance right now, independent of the date range you're viewing.

Export account transactions

Click Export on the account detail page to download the transactions shown as a CSV file.

Create, edit, and archive accounts

From the Chart of Accounts page:

  • Click + Create new account at the top right to add a new account.

  • Click Import at the top right to bulk-import accounts.

  • Click an account name to open its detail page, then click Edit Account to update it. System accounts can be edited but not deleted.

  • Archived accounts appear on the Archived tab and don't show up in transaction dropdowns. Their historical activity stays on the ledger for audit purposes.
