How and when your data syncs

The two ways data moves between Re-Leased and your accounting system, and how to work out when your change will appear on the other side

Data moves between Re-Leased and your accounting system in two ways. Knowing which one carries your change tells you when to expect it on the other side.

On-change sync

When you create or edit certain records in Re-Leased, Re-Leased pushes that record to your accounting system straight away, then pulls back anything your accounting system changed about it.

For example, create an income invoice in Re-Leased and it pushes across as a sales invoice. Your accounting system stores it, gives it a record number, and calculates the tax on each line. Re-Leased then updates the invoice with those values.

Two things to know:

  • It only works one way. Changes you make in your accounting system never trigger an on-change sync. They wait for the next full sync

  • It syncs one record, not everything attached to it. Editing an invoice syncs the invoice, not the contact on it. If you need to change both, change the contact first, let it sync, then edit the invoice

Invoices, credit notes and payments push on change. Which other records do varies by accounting system, so check your platform's articles.

Full sync

A full sync reconciles every record across both systems. This is the only way changes made in your accounting system reach Re-Leased.

Overnight. An automated sync runs every night for every accounting system. Companies are synced oldest first in batches, so if you have a lot of companies, some may not complete every night.

During the day. QuickBooks Online also syncs every hour during business hours. The other integrations don't.

On demand. You can trigger a sync yourself at any time. Go to Settings > Manage Add-ons and Integrations, open your connection, and select Sync. This is the fastest way to pull changes from your accounting system into Re-Leased.

Two rules worth following

Only make a change in one system. Making the same edit in both risks a sync error or a data problem. Pick one side, make the change there, and let the sync carry it.

Make time-sensitive changes in Re-Leased. They push across immediately. If a change isn't urgent, you can make it in your accounting system and let the overnight sync pick it up, or trigger a manual sync when you need it sooner.
