Work Orders Syncing to Purchase Orders in Xero

How to sync Work Orders from Re-Leased to Xero as Purchase Orders — enable the integration, complete required Work Order fields, approve the Work Order, then convert the Purchase Order to a Bill in Xero and sync back to Re-Leased as an Expense Invoice.

When the Work Orders to Xero Purchase Orders integration is enabled, approved Work Orders in Re-Leased sync to Xero as Purchase Orders. This creates a clear audit trail for supplier bills and simplifies reconciliation.



Enabling the Integration

Navigate to Settings > Manage Integrations & Add-ons > View Details > Settings and enable the Work Orders to Purchase Orders toggle.



Prerequisites

Ensure these fields are complete on the Work Order before syncing:

  • Contractor

  • Budgeted Cost

  • Due Date

  • Description of Works/Issue

  • Chart of Account (linked to the Maintenance Type)

Verify that Maintenance Types in Settings have Charts of Account linked. Missing fields will be flagged on the Sync Results page.



Sync Workflow

Step 1 — Create and approve the Work Order in Re-Leased. Leave the External Reference/Number field blank for easier matching later.

Step 2 — Sync to Xero. Once the Work Order reaches Approved, Sent, or Completed status, it syncs to Xero on the next sync cycle.

Step 3 — Purchase Order created in Xero. The Purchase Order number matches the Work Order number. No tax rate is included — the Xero tracking option reflects the associated property.

Step 4 — Convert to a Bill in Xero. Select Mark as Billed or use Options > Copy to > Bill.

Step 5 — Add tax and due date to the Draft Bill in Xero, then approve it.

Step 6 — Re-Leased updates. After the next sync, Re-Leased creates a new Expense Invoice matching the Bill details and Work Order number, associated with the correct property.
