How to use Credia Extract: Invoices in Re-Leased — upload invoices via direct upload, My Inbox, or email forwarding, process with AI-extracted fields, handle on-charges, and troubleshoot missing information. Credia Plus feature.

Credia Extract: Invoices is a Credia Plus feature that automatically extracts key information from expense invoice files, letting you process invoices in bulk without manual data entry. To learn more about Credia Plus, contact your Account Manager or leave a contact request.


Three Ways to Upload Invoices

  • Direct upload — drag and drop files on the Process Expense Invoices screen, or use the file selector.

  • My Inbox — with a connected Outlook or Gmail integration, extract invoices from the email attachment dropdown or the Credia Action Panel, then forward to Process with Credia.

  • Email forwarding — navigate to Accounting > Process Expense Invoices > Forward Invoices to get your unique billing group email address. Share it with suppliers or set up email forwarding rules. Invoice PDFs sent to this address are automatically processed and added to the Pending table.

Note: Re-Leased detects duplicate invoices by comparing the billing group and file structure. When a duplicate is identified, the file is not imported.


Pending and Processed Tables

  • Pending — uploaded files awaiting processing. Status indicators: Pending (manual only), Ready for review (Credia extracted, needs verification), Processing (queued), Failed (extraction error).

  • Processed — completed invoices showing status: Draft, Awaiting Approval, Approved, Rejected, or Voided.


Processing an Invoice

  1. Select the invoices to process from the Pending table, then click Process with Credia.

  2. Review the invoice preview on the left. Credia pre-fills fields on the right — verify and correct as needed.

  3. Fill in all required fields (marked with an asterisk).

  4. For each invoice, choose: Approve, Submit for approval, Save as draft, Skip (returns to Pending), or Cancel.

Note: Changing the Company resets dependent invoice details such as tracking codes and tax rates.

Creating a New Creditor

If the invoice is for a new supplier, open the From dropdown, click + Add new creditor, enter the name, and click Save.


On-Charging Invoice Costs

When a line item uses a Direct On-Charges account, or when the invoice is linked to a tenancy, an on-charge panel appears. You can hold the expense invoice until the on-charge is paid by ticking Hold Invoice Until the On-Charged Invoices Have Been Paid.

To create on-charge invoices after processing: go to the Processed tab, find eligible invoices, and click Create invoices in the On-Charge column.


Troubleshooting

  • Missing or incorrect fields — check the invoice PDF for accuracy, populate blanks, and correct errors before approving.

  • Supplier not populated — the system may not have matched the name. Check the supplier contact name; it should populate correctly next time.

  • Ledger missing — the property may lack a ledger. Check the property record and add the ledger.

  • No data extracted — supported formats are PDF, JPG, JPEG, and PNG only.
