Selecting the Outgoings/Service Charge Ledger When Approving a Budget by Area

When approving a Budget by Area in a Client/Trust Accounting setup, the Outgoings ledger must be correctly configured on the property before it will appear as a selectable option. This article covers the two most common issues and how to resolve them.


Outgoings Ledger Not Available for Selection

This usually occurs the first time a budget is set up after switching to multiple ledgers, because the default ledger options haven't been fully configured.

  1. Navigate to the Property and click the Ledgers tab.

  2. Click Edit next to the outgoings ledger.

  3. Assign the required chart of accounts — both the outgoings revenue codes and expense codes.

With the correct chart of accounts assigned, the outgoings ledger will appear as a selectable option when approving the budget.


Resolving the "No Existing Template" Error

If you see No Existing Template next to a tenancy, it means no outgoings template exists for that tenancy.

  1. Open the tenancy and go to the Rent & Outgoings tab.

  2. Ensure a base outgoings template is set up — this provides the budget with the frequency at which tenants are charged.


Resolving the "Must be for same client/trust account" Error

If you see the error Must be for same client/trust account used by outgoing template:

  • Confirm the ledger you're selecting matches the Client/Trust Account used in the tenancy's current outgoings template.

  • If the outgoings ledger still cannot be selected, check that the property ledgers have the correct chart of accounts assigned under the default ledger settings.
