Sending Reminders in the New Arrears Hub (Open Beta)

Use the new Arrears Hub to chase overdue tenancies in bulk - select all matching tenancies, review and customise every reminder before sending, then track what went out. Open beta.

The new Arrears Hub lets you chase every overdue tenancy in one pass. Select all the tenancies matching your filters, review and customize each reminder before it goes out, then track exactly what was sent and to whom.

Note: This feature is currently in beta.

To enable it, login to Re-Leased and click the [?] in the top right, select Settings > Available Betas.

How to Open the New Arrears Hub

Click the Accounting menu in the main navigation bar, then click Arrears. Alternatively, navigate to the Dashboard and click the Arrears tile. Once the beta is enabled, this opens the new Arrears Hub in place of the previous version.


What Is Different in the New Arrears Hub

The Arrears Hub does the same job as before, with these changes:

  • Chase more than one page at a time. Use Select all matching to include every tenancy that meets your current filters, or set the rows per page up to 400. Previously you could only act on the 20 rows shown on screen.

  • Review and customize every reminder in one place. The Review & customize reminders step replaces the previous Arrears Correspondence page. Tick the reminders you want, change delivery methods and templates in bulk or row by row, and see the exact send count before you commit.

  • Fix contact details without leaving the page. Add a missing email address, mobile number or postal address directly from the review step.

  • Choose and rearrange columns. A Columns panel lets you show, hide and reorder the table columns.

  • Search and filter from one row. Filter by Company, Property Manager, Owner, Arrears Status, Arrears Rule, Arrears Type and Account Type, and search by lease, property or tenant.

  • See what was sent. A send summary shows counts per delivery channel, the outcome for each tenancy, and a Download notices button.


How to Filter and Choose Columns in the Arrears Hub

Your filter and column choices are remembered the next time you open the Hub.

  1. Use the filter row above the table to set Company, Property Manager, Owner and Arrears Status, or type into Search to find a specific lease, property or tenant.

  2. Click Filters to open the filters panel for Arrears Type, Arrears Rule and Account Type, then click Apply filters. The button shows a count of active filters, and clears them all when you click the cross beside it.

  3. Click Columns to open the columns panel. Use Select columns to choose which columns display and Arrange columns to drag them into the order you want, then click Apply changes.

  4. Use the tabs above the table to move between arrears age bands, and click Bank Statement Status to check the last imported statement date and any unreconciled transactions.


How to Select the Tenancies You Want to Chase

  1. Filter the table down to the tenancies you want to chase.

  2. Tick individual tenancies using the checkbox on each row, or click Select all matching to include every tenancy matching your current filters across all pages. The count beside it tells you how many that is.

  3. Click Dismiss on any row you do not want to chase this time. Dismissed tenancies are excluded from the send and the dismissal is recorded against the tenancy.

  4. Click Send reminders. The button shows how many tenancies you have selected.

Note: Select all matching follows your current filters and tab, not just the rows on screen. Check your filters before using it so you only chase the tenancies you intend to.


How to Review and Customise Reminders Before Sending

The Review & customise reminders step lists every tenancy you selected, with its amount, delivery method and attachments. Only the tenancies you leave ticked receive a reminder.

  1. Untick any tenancy you do not want to send to. The send button updates to match.

  2. To change several reminders at once, tick those rows and click Customise selected. Choose the delivery channels — Email, Post or Text message — and the templates to use, then click Apply.

  3. To change a single reminder, click Customise on that row. Click Reset to rule default to return it to the delivery method and template from your arrears rule.

  4. Use Attach invoices and Attach credits to include supporting documents with the reminder.

  5. Click Send reminders. The button confirms the exact number going out, for example Send 24 reminders.


What the Status Labels on Each Reminder Mean

Each row on the review step can carry one or more labels explaining how that reminder will be sent. Hover over a label to see an explanation.

  • Inherited — delivery comes from your arrears rule and the contact's details.

  • Customised — delivery was changed on this page and overrides the arrears rule default.

  • No delivery method — no delivery channel and template are set, so this reminder will be skipped. Customise the row or fix the contact details to give it one.

  • Dismissed — marked as dismissed, so no reminder will be sent.

  • Communications stopped — communications are stopped for this tenancy, so its notices will be skipped.

Important: Reminders labelled No delivery method or Communications stopped are counted separately and skipped when you send. A tenancy that was recently sent a reminder can also show No delivery method.


How to Fix Missing Contact Details

When a contact is missing an email address or mobile number, the row shows Fix contact details instead of Edit contact.

  1. Click Fix contact details or Edit contact on the row.

  2. Add or correct the Email address, tick Receive tenancy notices by email if the contact should receive notices that way, and complete the Mobile number fields.

  3. Complete the Postal address fields if you are sending by post.

  4. Click Save. This updates the contact record, so the change applies beyond this send.


How to Send the Reminders and Check What Went Out

After you send, the summary page shows the progress and outcome of the batch.

  • The title reads Reminders queued while your notices generate, and changes to Reminders sent once they finish.

  • Emails sent, Text messages sent and Letters created show the totals for each delivery channel.

  • The breakdown below lists the outcome for each tenancy, including any that were skipped.

  • Click Download notices to download the letters generated for posting.

  • Click Back to Arrears Hub in the top right to return to the Hub.

  • You also receive a confirmation email summarising the batch. The link in that email opens the same summary page.

Note: If some deliveries fail, the summary shows that notices were processed but some deliveries had errors, and flags the affected tenancies in the breakdown.


Switching Back to the Previous Arrears Hub

Turn the beta off under Settings > Available Betas to return to the previous Arrears Hub. Your arrears rules, statuses, templates and correspondence history are unaffected either way, and any reminders you have already sent remain recorded against their tenancies.


In North America, "Arrears" is referred to as "Delinquency" and "Tenancies" as "Leases". For UK customers, "Trust Account" is referred to as "Client Account". For more information on regional terminology, see our Glossary of Regional Terminology.
