How contacts map between Re-Leased and Sage Intacct

How Sage Intacct customers and vendors become Contacts and Creditors in Re-Leased, why one person can have several records, and how to update them safely.

Sage Intacct keeps a separate contact record for each subledger, and Re-Leased splits them the same way. Once you know which subledger a record came from, the mapping is straightforward.

The subledger decides the record type, and nothing else does. A Customer always becomes a Contact. A Vendor always becomes a Creditor.

Prefixes don't affect how contacts sync

Most Sage Intacct setups give each subledger its own prefix format. Sage Intacct assigns the prefix, and it carries through to the display name you see in Re-Leased, which makes it a quick way to identify the source record.

Prefixes play no part in whether a record becomes a Contact or a Creditor. That's driven entirely by the subledger, so don't rely on a prefix to tell you how a record will sync.

Expect one person or business to have several contact records

This is normal on a Sage Intacct connection, and it isn't a duplicate.

A single person or business gets a separate record for each role they play:

  • A landlord you also invoice exists as both a Creditor and a Contact

  • A contractor who does maintenance work and also leases space exists as a Creditor and a Contact, with the Contact record assigned to their tenancy

Where the same Sage Intacct customer or vendor is shared across several of your Re-Leased companies, Multi-Company Contacts keeps it as one Re-Leased contact record rather than creating one per company.

Leases and tenancies need a Customer contact

The Primary Contact and Account Contact on a lease or tenancy must be a Contact, not a Creditor. Only records from Sage Intacct's Accounts Receivable (Customer) subledger can fill those roles.

If a business only exists as a Vendor in Sage Intacct, create a Customer record for it there first, let it sync, then assign it to the tenancy.

Updating a contact

Change it in one system only. Either Sage Intacct or Re-Leased, never both.

If the change applies to the person or business as a whole, such as a name, address, phone number or email, update every record they have. All of them need to match.

If the change applies to one role only, such as tenancy details, update just that record.

If you find a genuine duplicate within the same type, such as two tenant records for one tenant, keep the one that already has tenancies and invoices attached to it and update that one.

Two things not to do

Don't repurpose a record. Never switch a record from customer to vendor, or move it between subledgers. Set it to inactive and create a new one instead.

Don't delete a contact and create a replacement. You'll end up with a duplicate in Re-Leased, and your existing invoices and tenancies stay linked to the old record rather than the new one.

Everything in Re-Leased hangs off the contact record - tenancies, invoices, credit notes, bank accounts. Breaking or duplicating it affects all of them.
