Contacts linked to a tenancy can be configured to receive specific types of notifications — ensuring the right information reaches the right person for arrears, invoices, maintenance, inspections, correspondence, and forms.
Default Notice Preferences for a New Tenancy
When a new tenancy is created, notification preferences are pre-set based on contact type:
Primary contacts — arrears, inspections, and general correspondence.
Account contacts — arrears, inspections, invoices, and general correspondence.
All other contacts — general correspondence only.
Arrears Notices
The primary contact always appears on the arrears notice list. You can select additional contacts by toggling the checkbox next to their name in the Arrears Hub. Deselecting the primary contact disables the option for additional contacts.
Inspection Notices
The primary contact is listed by default. Additional contacts who have opted in for inspection notices are shown below. Manage receipt via the delivery method checkboxes.
Invoicing
The invoice notice option for the account contact cannot be unchecked — they will always receive invoice notifications. Other contacts may opt in or out. When an invoice is sent, the account contact and any opted-in contacts are pre-filled in the To field.
Maintenance Tasks
Maintenance notifications go to contacts designated as Tenancy Maintenance Contacts. You can adjust which contacts are linked to each task. Changes here are task-specific and do not affect the tenancy's default settings.
Work Orders
Contacts chosen for a maintenance task carry over to the associated work order. You can add or remove contacts for the work order and send them copies by email when dispatching.
General Correspondence and Forms & Agreements
General correspondence goes to contacts who have opted in via email or mail merge functions. For forms and agreements, only contacts who have selected that option receive notices by email — this is not selected by default.
